The United States Agency for International Development (USAID) Juba, South Sudan is seeking applications for the position of Admin Assistant in the Office of Foreign Disaster Assistance.
Job Summary
Under the direct supervision of the senior. Humanitarian Advisor and OFDA Senior Program Officer or their designees, the incumbent will have responsibility to support the Office of Foreign Disaster Assistance (OFDA) in the administration and management of the OFDA team activities.
The OFDA Admin Assistant will provide a broad range of services to the OFDA staff, temporary duty visitors and other experts. Administrative work will include monitoring the maintenance of field equipment, support of internal external office communications (especially between those in field and those in the office), maintenance of orderly files (hard and soft), assurance that
OFDA offices procedures fully comply with USAID rules and regulations, monitoring status of and expediting inter-office requests (e.g. flight reservations, procurement, arranging access for and escorting visitors, organizing communications and logistics for workshops and conferences, etc.
Travel support tasks will include arranging logistics, assuring that OFDA office members and visitors comply with South Sudan’s bureaucratic requirements (e.g., visas or any other related travel documents), and assisting out-of-town visitors to access necessary services and information.
Financial support would include interaction with the USAID/SS Financial Management team and Controller to track the expenditure of the OFDA administrative support budget
QUALIFICATIONS REQUIRED:
EDUCATION (20): University Degree in Bachelor of Business and Administration, public or social administration or similar discipline is required or five (5) years’ experience in administrative or financial management.
EXPERIENCE (20): A minimum of two to three years of progressively responsible work experience in administrative support, financial management, logistics or customer service.
KNOWLEGDE AND SKILLS (40): Must have a good knowledge of general office operations and procedural requirements pertaining to functions performed in the Humanitarian Assistance environment. And also must have knowledge of computer operation, word processing, and spreadsheet applications. Must be able to organize work and be able to operate standard office equipment (e.g. photocopier, scanner, fax, calculator, etc.).
LANGUAGE (20): Level IV in English and local language written and oral are required.
