Position Summary:

Under the supervision of the HR Manager, the incumbent is responsible for assisting and coordinating aspects of payroll in conjunction with the Human Resources Team and the Finance Team while also responsible for trouble shooting payroll issues with staff worldwide.

 

ESSENTIAL RESPONSIBILITIES AND DUTIES:

Payroll & Benefits:

  • Perform complex clerical duties involved in the preparation and processing of Relief International domestic and international employee payrolls to ensure accuracy of monthly salary payments through ADP system
  • Prepare Relief International employee payroll summary sheets for verification of completed payroll data including database report and staff changes summary report
  • Update ADP system with important employee changes including salary, job title, address, tax withholdings, and benefit deductions.
  • Collect and maintain record of new salary advances, past advances due and vacation payout requests
  • Enroll and terminate employees with qualifying benefits.  This includes medical, dental, vision, 403B retirement account, short term disability insurance, life insurance, and personal accident insurance.
  • Reconciliation and processing of employee benefit invoices
  • Collect, Review and Distribute Relief International employee insurance cards and other benefit-related documents to employees
  • Distribute payroll checks to LA-based staff, mail checks to DC office staff, and scan and email payroll check stubs to international staff members
  • Ensure all timesheets are submitted online through ADP by timesheet deadline.
  • Coordinate corrective action on incomplete or incorrect time sheets with department supervisors and Human Resources
  • Collect, Review and Process staff reimbursement requests and coordinate with Finance for payment
  • Resolve general problems of payroll processing and staff requests
  • Perform other related payroll duties as requested

Personnel:

  • Request, Organize, and Process Relief International employee time sheets and leave request forms to ensure proper completion and authorization of leave is taken
  • Data entry of new employees into ADP HRIS database, as well as create reports from database for payroll
  • Collect and create induction folders for new employees
  • Assist with Exit Process for terminating employees
  • Prepare and distribute new employee introductions to All Staff
  • Maintain and update Relief International staff directory; coordinate with field office Human Resources staff to provide most up-to-date staff contact information
  • Review and edit Relief International employee contract agreements as requested
  • Draft and prepare updates to Relief International policies and procedures as requested
  • Organize and maintain Time and Attendance databases through ADP system

Audit:

  • Perform quarterly audit on timesheets and staff personnel folders to ensure proper and up-to-date information is recorded
  • Correspond with domestic and international staff to collect and revise audited timesheets and personnel documents, as needed
  • Perform other related Audit duties as requested

 

 

QUALIFICATIONS:

  • Experience with ADP HRIS system is highly preferred.
  • Bachelor’s degree required, preferably in the areas of HR, finance, or business. 
  • Entry-level position but preferably a minimum of 1 year prior payroll administration with an international NGO or agency working in emergency relief or international development
  • Excellent time management skills and resourcefulness with a very strict attention to detail.
  • Ability to provide friendly customer service to employees, and have great problem-solving skills
  • Excellent written & verbal communications and computer literacy skills required.
  • Demonstrated ability to manage multiple priorities, deadlines, tasks efficiently.
  • Ability to work well across many teams as well as take initiative to get tasks done.

 

This is a US-based position, and a candidate must be legally authorized to work in the US.

 

Salary: Commensurate with experience and qualifications.
