Program Assistant

Supervision
Reports to and performance evaluated by the Program Director.

FLSA Status
Full-Time, Exempt

Qualifications
Must have a college degree and working knowledge of international and hemispheric affairs.

Language Proficiency Required
Excellent oral and writing abilities in English and Spanish.

Knowledge, Skills and Abilities

  • Exceptional interpersonal and organizational skills and ability to work effectively as part of a team.
  • Must have very strong work ethic, be results-oriented, and self motivated.
  • Must have a demonstrated ability to maintain discretion about program work with outside groups, prioritize, complete various tasks under tight deadlines, and work well under pressure.
  • Experience with Microsoft Access and SharePoint a plus.
  • Experience with US Government funded projects a plus.

Duties and Responsibilities

  • Responsible for day-to-day administration of a civil society strengthening and democracy promotion program in Latin America.
  • The Program Assistant is a key part of the Program team. He or she is expected to take initiative by troubleshooting problems and finding practical solutions in a very fast-paced environment.
  • Support the development and implementation of general program administrative instruments, including tracking of program expenditures, monitoring of program activities, and evaluation of program outputs.
  • Manage internal PADF program administrative documents (for example, check requests and memoranda), maintain program monitoring and evaluation databases, and complete administrative tasks such as the procurement of supplies, travel arrangements and travel expense reports.
  • Support the Program as needed with correspondence, research, and other administrative tasks as assigned.
