Program Assistant, Haiti Assistance Program

 

Summary:
The Program Assistant (PA) is primarily responsible for providing operational, administrative and program support to the Haiti Assistance Program (HAP) which forms part of the International Services division at the headquarters of the American Red Cross. PAs are expected to have a wide range of skills and an interest in international disaster response and community-based development. This is a Regular Full Time position.

Job Description:
The American Red Cross seeks a Program Assistant (PA) to support the Haiti Assistance Program (HAP) within the International Services Division of the American Red Cross. The position is designed to provide administrative support throughout the program design, implementation and review process at headquarter level, in addition to general administrative support to the HAP program team. This includes facilitating information management and contributing to program effectiveness and organizational learning. The Program Assistant works closely with HAP Program staff, and coordinates with other technical advisors and units. The nature of the work occasionally requires unplanned extended work hours. The PA is expected to have a wide range of administrative, organizational, communications, and presentation skills and an interest in international programming. This position reports directly to the HAP Manager.


Responsibilities:

  • Facilitate internal processes, including program reports, program data collection and entry into software database, tracking and analysis of the units’ contributions to programs.
  •  Attend meetings such as proposal review meetings, and take meeting minutes and disseminate, as needed
  • Conduct research as needed on issues related to ARC’s international operational or technical areas
  •  Perform administrative duties as needed to support in particular Program Officers, including data entry, arranging appointments, travel, preparing correspondence, records management, and presentations
  • Backstop activities as needed, such as program quality control, contracting, management and representation. If applicable, be available as required to fill in for Program Officers for short periods of time
  • Assist with Response and Programs project and delegation close-outs
  • Support deployment of personnel including travel arrangements, information collection and distribution, preparation of equipment, and briefings/debriefings
  • Support knowledge management, including organizing and filing program-related documents on the G drive
  • Travel as needed to assist with technical advisors, or program officers, provide in-country support to staff as appropriate, and in coordination with the Haiti Assistance unit Director and regional directors.
  • Provide support as requested to emergency responses, recovery and surge needs for program support
  • Perform other job-related duties, as assigned.

 

Qualifications:

 

  • Bachelor’s degree in international relations, social sciences or management and one year of relevant experience required or equivalent experience including strong administrative skills related to program management and processes.
  • Experience working or living abroad, especially in a developing country, strongly preferred.
  • Must have excellent writing, editing and time-management skills, with a high proficiency in Word, PowerPoint and Excel. Have a demonstrated interest in international development and humanitarian assistance.
  • Must display flexibility, adaptability, initiative, and a high degree of competence in project support, research and teamwork.
  •  Must possess strong personal integrity and ability to adapt to changing situations
  • Foreign language skills a plus, particularly French.
