Position Description

The Program Assistant will provide administrative and staff support to program operations across the Civil Society and Climate and Environment programs. Working closely with program leadership, this position provides all necessary programmatic administrative, financial and logistical support in the implementation and facilitation of these programs.  The ideal candidate must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people and programs.

 

  • Serves as the first point of contact for the departments; responds to general inquiries about ISC programs;
  • Handles logistical arrangements and planning for meetings, including production and assembly of meeting briefing books and materials, travel, lodging, and food arrangements;
  • Inputs, edits and proofreads reports, as well as formats text and publications and enters revisions into text;
  • Maintain information in CRM databases to ensure accuracy and currency of information;
  • Supports the program leadership and finance in the maintenance of the program finances to include preparing expense reports, travel reimbursements and credit card reconciliations;
  • Support the coordination and production of project proposals as required;
  • Conduct research and analysis under the direction of program staff in support of programmatic efforts;
  • Acts as liaison with other departments and outside agencies;
  • Works independently and within a team on special projects as assigned;
  • Maintain and update program web content to promote ISC;
  • Assist in the preparation of proposals and grant as directed;
  • Participates in meetings and provides input into the continued development of the program.

Qualifications

  • Bachelor's Degree and/or equivalent experience;
  • Ability to work independently and take initiative;
  • Demonstrated competence to access priorities and manage a variety of activities in a time-sensitive manner;
  • Strong attention to detail and accuracy;
  • Excellent organizational skills, ability to multi-task and meeting demanding deadlines;
  • Strong written communication skills, including editing and proofreading;
  • Excellent customer service skills; ability to communicate with donors;
  • Ability to actively and efficiently support a team approach;
  • A strong commitment in support of ISC programs;
  • Proficiency with Microsoft Word, Excel, and PowerPoint;
  • Excellent Internet and research skills;
  • Proficiency with storyboarding tools a plus;
  • Experience working in a small, fast-paced international non-profit a plus.
