Job Description

Chemonics seeks several archivists to join the Global Health and Supply Chain Office (GHSCO) on the Finance and Compliance (F&C) division. The Global Health Supply Chain – Procurement and Supply Management (GHSC-PSM) IDIQ Project Management Unit (PMU) Archivist supports the project’s ongoing efforts to ensure the completeness, accuracy, and accessibility of project documentation. This position is responsible for the retrieval, organization, indexing, and archive of project records in accordance with Chemonics standard guidance, as well as the review of the completeness and accuracy of key data contained therein. Chemonics’ records are corporate assets that directly contribute to our key results. Records contribute to client satisfaction, employee satisfaction, development impact, growth, and employee ownership.

Principal Duties and Responsibilities
  • Contribute to the design of organizational structures and guidelines that will assist with the tracking, collection, collation, and review of documentation requested by auditors or other reviewers prior to submission
  • Conduct inventories of existing hard-copy and electronic files across multiple systems, collect files in response to auditors’ or other reviewers’ requests, and lead efforts to locate missing files
  • Using knowledge of the project’s supply chain operations and/or audit requirements, assist with the development of checklists and other guidance that will be used to complete reviews of the completeness and accuracy of data used in external and internal reporting
  • Complete reviews of the completeness and accuracy of data used in external and internal reporting in accordance with checklists and other guidance
  • Determine the impact of incomplete or inaccurate project documentation, raise findings to the appropriate levels of management, make recommendations to resolve those findings, and coordinate with project teams to ensure that corrections are made
  • Promote best practices in accordance with Generally Accepted Recordkeeping Principles (GARP) among project teams
  • Foster and demonstrate a workplace inclusive of creating opportunity, serving others, building trust, innovation and exceeding expectations
  • Contribute to technical practice of relevance to areas of interest or focus, sharing information and best practices learned with the company
  • Perform other duties and responsibilities as required

Qualifications
  • Bachelor’s degree or equivalent work experience
  • Minimum one year of relevant administrative or professional work experience. Experience with audit, financial management, information systems, recordkeeping, or supply chain operations preferred
  • Demonstrated ability to handle routine tasks and operational issues
  • Demonstrated ability to communicate clearly and concisely in both verbal and written communications; strong cross-culture communication and sensitivity skills Ability to multitask with strong attention to detail, organization, and time management in a fast-paced environment
  • Demonstrated ability to follow standard practices and procedures, receive general instruction and supervision, and contribute to projects and initiatives
  • Demonstrated resourcefulness in problem-solving and initiative to learn new skills
  • Able to work both independently and as part of a team
  • Strong customer service and interpersonal skills
  • Strong knowledge of MS Office applications, particularly Excel, required
  • Proficiency in a second language preferred
  • Willingness to travel and work abroad in less developed countries for at least 4 to 8 weeks a year
