Function of the position:

This is a junior to mid-management role in DAI Global Security, to support security risk management and duty of care for DAI staff, globally. The purpose of the Project Manager is:

  • To have the people of DAI feel and be as secure as is practicable in order to have the work of the company and its clients proceed.
  • To support the processes that corporately shape the One DAI “Be Secure” culture of global policies, practices, plans and protocols that, inter alia, set out minimum acceptable security standards, project security performance indicators and define DAI’s Duty of Care.
  • To support the training processes that ensure DAI staff are provided with what is needed so they are in a state of Informed Consent

Key duties and responsibilities :

  • Understand and remain up to date with DAI clients’ duty of care and security risk management requirements for purposes of informing DAI Global Security (GS) policies and practices across the company and through the project lifecycle.
  • Serve as the global Point of Contact for DAI Global Security systems such as:
  • Crisis 24: manage contract and financials with oversight from supervisor; provide support to DAI staff in managing their Crisis24/WorldCue accounts; maintain user guides; develop and deliver training materials; trouble shoot issues with Crisis24 representative, Global Security Regional Security Managers and DAI staff.
  • GS DAI Connect page: ensure the webpage remains updated through scheduled checks; ensure uploaded resources follow set standards and documentation is up to date; post global security alerts on behalf of the team; deliver reminders and training for the Global Security team on webpage purpose and functions.
  • Project Dashboard: ensure project cards are up to date in coordination with Regional Security Managers and that all regions follow the same standard; develop training; troubleshoot technical and end user issues; run reports on a scheduled or as requested basis – on the status of project cards and status for purposes of following progress.
  • Security Briefings: ensure DAI staff across the Business Units and geographies are trained on the purpose and function of the security briefing calendar; troubleshoot briefing calendar technical issues; coordinate security briefings on behalf of Global Security and issue traveller security guides and other documents as requested.
  • Crisis Line: ensure the crisis line protocols are up to date with relevant contact information and accurately reflect GS structure and that of other functions within DAI. Run scheduled and ad hoc tests.
  • Ensure DAI Global Security policies and processes remain consistent with the One DAI Approach.
  • Documentation: create and maintain templates for various internal (DAI) and external (USAID, FCDO, EU) security deliverables; ensure consistency across BUs and geographies.
  • Policies and Procedures: maintain an up to date database listing all relevant GS policies across BUs and geographies to track necessary updates; support supervisor with reviews, updates and roll out process.
  • Meetings: coordinate with relevant DAI BU process holders on ISO, policy and procedure updates.
  • Serve as a coordination point between GS Regional Representatives, GS Director of Policy & Operations on DAI systems and project needs to ensure policies and practices are standardised – as much as feasible – across DAI and geographies.
  • Serve as the Point of Contact for DAI projects with worldwide activities, ensuring that:
  • Security Plans: support supervisor in drafting security plans
  • Training: support design and delivery of project Chief of Party or Team Leader orientation, Security Focal Point training and other training relevant to projects. Information: Coordinate with relevant Regional Security Managers to acquire expert regional and country knowledge in support of these projects.
  • Network and coordinate with security professionals in the field of humanitarian aid and international development, to ensure that Global Security policies and processes are also informed by practices in DAI’s field of work.
  • Support the Director of Policy & Operations in designing and managing the DAI Global Security training package across various groups, individuals and geographies.
  • Documentation & Process: draft request for proposal (RFP) in alignment with DAI and client requirements, develop evaluation forms and manage RFP process.
  • Communication: support roll out, follow up and attendance processes.
  • Contribute to and lead geopolitical and security analysis products across the various geographies to ensure professional writing standards and product design.
  • Information sources: develop databases for information sources and reporting for purposes of knowledge management.
  • Research: conduct initial research in support of the team or leading analysis and research projects as assigned.
  • Act on behalf of GS Regional Managers/Directors, Director of Policy & Operations in case of travel, leave or other unforeseen needs, to include short term assignments on an as needed basis.
  • Support the Director of Policy & Operations in chairing the DAI Global Security Advisory Group
  • Meetings: set up meetings and take notes. Follow up with members as necessary on particular initiatives and interests.
  • Attend Business Unit routine new business and delivery meetings.
  • New Business: maintain a DAI global new business tracker with GS members assigned to task.
  • Delivery: ensure internal GS documents and databases are accessible to the team and files are organized.
  • Support Incident and Crisis Management efforts.
  • Documentation: support supervisor in drafting and updating plans.
  • Training: support supervisor in organizing training, materials and delivering such.
  • Databases: maintain security incident database.

Qualifications:

Preferred Qualifications:

  • Advanced degree (PhD, MA or MSc) in International Relations, Risk Management, War Studies, International Security, International Development or similar.
  • At least 3 years of experience in security, international development or humanitarian work. Long or short-term field experience is a plus.
  • Well-developed understanding of effective contract administration & supplier management.
  • Fluent English language (written and spoken). Foreign languages (French, Spanish or Arabic) is a plus.
  • Proficient in MS Office applications. Knowledge of MS Planner, SharePoint, Forms, PowerBI, etc. is a plus.
