Function of the Position:
This position supports the Business Development department to provide administrative and operational assistance.
Roles and Responsibilities:
Administrative Services: Support BDU and embedded new business teams by providing administrative, operational, and logistical support, including: processing proposal funding requests (BAP) and generating billing codes; coordinating with other DAI departments in the accurate upkeep of new business management and financial reporting; processing external consultant paperwork; auditing expense reports for accuracy; coordinating the distribution of procurement documents throughout the company; handling logistics for business development meetings (reserving rooms and technology resources, preparing agendas, taking and distributing notes); maintaining files and logs, including those for business acquisition plans (BAPs), proposal codes, and internal tools and templates; updating and maintaining the Acquisitions section of the Portal in coordination with OIMT; providing administrative and logistical support for internal and external business development events; coordinating outreach from partner organizations (including small businesses); overseeing management and organization of business development files; and other duties as required.
Proposal Support Services: Support BDU and embedded new business teams by providing administrative, operational, and logistical support, including: setting up meetings (reserving rooms and technology resources, preparing agendas, taking and distributing notes); coordinating catering or other logistics; organizing information on potential partners; researching country contexts and other country-specific information (cost, operations); compiling past and on-going project experience; creating charts, tables, and staffing matrices; and other duties as required.
Data Analysis and Reporting: Continuously update and track data to produce, analyze, and summarize new business reports (win-loss reports and other new business metrics); support BDU, embedded new business teams, and other departments as necessary in data analysis for internal or proposal use.
Training Support Services: Provide logistical support to BDU training classes including: securing training facilitators; scheduling training; coordination registration, room reservations, set up, evaluations, etc.; management of BDU training files including cataloging materials and updating curriculum.
- Grade 4: Bachelor’s degree and one year of administrative experience; or master’s degree
- Understanding of/interest in the international development field
- Excellent time management and organizational skills
- Strong Excel and database skills
- Excellent oral and written communication skills
- Ability to work independently and as a part of the team
- Equivalent combination of experience and training will be considered
- Proficiency in a second language
