Job Description:

Apprio is seeking an experienced Executive Assistant to support our contract with USAID in Washington, DC. The Front Office Executive Assistant provides high level, diversified and confidential administrative support to the Chief of Staff, Deputy Chief of Staff and the Administrator’s and the Deputy Administrator’s immediate staff and serves as a full member of the support team. The Executive Assistant’s duties range from basic office tasks such as answering multi-line telephones, managing executive correspondence, to more complex task such as researching and summarizing information contained in files, reporting back on meetings, and providing input on priority and track impending deadlines as well as handle multiple tasks simultaneously. The position has potential for professional training. To perform this role successfully, the individual must be able to perform each essential duty listed below satisfactorily.

Responsibilities:

  • Provides direct administrative support and assistance to the Chief of Staff and Deputy Chief of Staff.
  • Liaises with agency senior leadership of bureaus and independent offices on behalf of the Deputy Chief of Staff and Chief Strategy Officer on specific requests and information gathering .
  • Acts as team player ensuring that priority activities and responsibilities are carried out, including backstop support in the absence of other office staff or providing assistance in other comparable positions within the immediate Office of the Administrator and the Deputy Administrator.
  • Works with Director of Scheduling and Deputy Director of Scheduling in the management, planning, accepting and regretting of long and short term calendar events and invitations.
  • Prepares all travel related documentation and makes all travel arrangement s on behalf of the Deputy Chief of Staff and Chief Strategy Officer.
  • Schedules and priorities appointments and meeting, accepting and declining invitations.
  • Directs various support activities for special events, high level meetings and agency programs for USAID and Front Office staff.
  • Personally responds to routine inquiries and those requiring knowledge of the organization activities or its internal administrative procedures.
  • Diplomatically communicates and presents ideas from parties within the Front office and relays information regarding summary of events, results and next steps.
  • Identifies and recommends procurement actions for equipment and supplies us e d to support food services and special event programs.
  • Route communications, including official correspondence and memoranda, in consultation with the Special Assistant to the Administrator and as directed by the Chief of Staff and Deputy Chief of Staff.
  • Make photocopies, send faxes and e-mails, and perform other routine office duties on an ad hoc basis.
  • Other duties as assigned.

Educational Requirement: Bachelor’s Degree and relevant professional office experience

Certification Preferred: N/A

Required Experience: 4 to 6 years of experience

Requirement Knowledge:

  • Proficiency in the use of Google and the Microsoft Office Suite is required; experience in the use of data base applications is recommended.
  • Candidates must be willing to work full-time .
  • Support may be required outside of core hours. The contractor will be notified in advance if after -hours support is required.
  • Collaboration and coordination with the Office of Executive Secretariat (ES), other organizations, vendors, bureaus, and miss ions is required
  • Strong Writing; Editing; Verbal Communications; Teamwork; Prioritizing; Multitasking; Organization and Planning; Project Management skills need.
