Job Description

InCoStrat, a fast growing, international communications firm is hiring an Executive Assistant. The Company is seeking a highly motivated individual with exceptional communication and organizational skills and a high attention to detail. No task is too big or too small and a commitment to delivery and completion of projects and assignments is critical. We are looking for someone who likes to operate as part of a team but also can act independently, is energized by a fast-paced environment, and does not mind an intense work day.

Outcomes:

Ensure calendars for executives are accurate, up to date, thorough and with zero conflicts. Communicate within 24 hours of any potential scheduling conflict;

Ensure meeting agendas are distributed in a timely manner and collect meeting minutes;

Oversee the office management as it relates to ordering office supplies, team lunches and the stocking of the kitchen on a weekly basis;

Maintain a clean and orderly office;

Manage and organize all client, vendor and employee files both paper and digital for the Company;

Collect and distribute mail on a daily basis;

Special projects as assigned;

Research and book travel for the executive team and other members of the staff as needed. This includes managing the American Express Global Travel platform;

Personal assistant work for the executive team as needed including residences, travel, auto and miscellaneous related tasks;

Responsible for maintenance of company vendor and utility accounts;

Compose correspondence, memos, reports, create spreadsheets and presentation charts;

General office management duties, as needed.

Requirements:

Meticulous attention to detail required.

Excellent oral and written communication skills.

High level of proficiency with Microsoft Word and Excel necessary. Do not apply without this.

High level of professionalism necessary.

Creative problem solving skills highly desired.

5+ years’ experience in an administrative capacity.

BS preferred, but not required.

Prior experience in government contracting a plus.
