Job Description
Chemonics seeks an Invoicing Associate for The Finance & Accounting Division. The Invoicing Associate is responsible for performing day-to-day invoicing operations duties, which include ensuring proper invoicing procedures are followed. The Invoicing Associate follows invoicing policy and processes and works under supervisor to ensure all policy and processes are effective, efficient, and compliant. Responsibilities include:
- Prepares monthly client invoices, which include invoice certifications and attachments for each contract.
- Sets up new contracts, billing codes, budgets, rates, and modifications in financial system for billing; sets up new business, project management non-billable, and general operations codes in the financial system.
- Updates fixed daily rate (FDR) in accounting system monthly; inputs contract ceiling increases in accounting system, and updates current negotiated indirect cost rate (NICRA) tables.
- Liaises with other F&A departments and project management units on invoicing corrections.
- Performs monthly work-in-progress (WIP) reconciliation and prepares monthly report of discrepancies for chief financial officer.
- Prepares reclaim vouchers and invoice disallowances.
- Books manual (deliverable based) and award fees.
- Books and prepares internal invoices for federal letter of credit (LOC) grants.
- Prepares contract summary report and sends to cash management monthly.
- Reconciles time-and-material report for incurred cost rate submission monthly; updates errors found.
- Prepare final NICRA invoices.
- Reviews budget setup and rates per contract.
- Assists annual financial and incurred cost rate audits in providing backup documentation and system review with the auditors.
- Performs other duties as required.
Qualifications:
- Bachelor’s degree in Accounting or Finance or related field required
- Bachelor’s degree or equivalent experience required
- Experience with accounts payable, general ledger, payroll, cost and pricing, or invoicing required
- Prior experience with accounting software preferred
- Experience with government contracting, knowledge of USAID regs preferred
- Demonstrated ability to communicate clearly and concisely both orally and in writing; strong cross-culture communication and sensitivity skills
- Demonstrated ability to handle routine administrative tasks and operational issues
- Ability to multi-task with strong attention to detail, organization, and time management
- Demonstrated ability to follow standard practices and procedures, receive general instruction and supervision, and contribute to projects and initiatives
- Ability to work both independently and as part of a team
- Strong customer service and interpersonal skills
- Demonstrated resourcefulness, problem solver, and initiative to learn new skills
- Strong knowledge of MS Office applications
- Demonstrated leadership, versatility and integrity
