The Logistics and Contracts Associate will independently manage the global logistics of travelers and long-term personnel, and ensure compliance with government regulations. S/he will also oversee international shipping, US procurement of goods and services, provide event planning and management services to projects, provide contracts administration support to project offices, Project Managers, and the Contracts team.

Responsibilities:

  • Ensure government contracting compliance as it relates to employee travel and overseas assignments
  • Coordinate travel arrangements for global employees, consultants, and trainees
  • Obtain employee visas, Medevac and Defense Base Act insurance
  • Coordinate logistics and provide event planning services for project conferences and trainings
  • Provide logistics, visa, insurance, and travel arrangement services for participant trainings in the US
  • Collaborate with payroll to ensure correct allowances and insurance for all expatriates and third-country nationals
  • Coordinate hotel reservations and airport pickups for field offices
  • Mobilize and demobilize long-term resident advisors to and from overseas posts
  • Conduct procurements for international shipping and visa facilitation services, as well as for US-based procurements of goods and services for projects
  • Manage small business contacts by maintaining a database of qualified small and disadvantaged businesses, preparing Small Business Subcontracting Plans, and preparing small business utilization reports
  • Provide administrative logistics and subcontract support to Federal agreements and task orders
  • Perform other related duties as assigned

Qualifications:

  • Associates degree or equivalent work experience
  • Knowledge of Federal travel regulations, USAID allowances and other relevant FAR and AIDAR rules and regulations
  • 1 year of federal government contracts experience in either (1) administering contracts and subcontracts; (2) purchasing goods and services; (3) managing logistics and travel; (4) administering and reporting on small business utilization; or (5) financial management or reporting
  • Excellent attention to detail
  • Excellent communication and customer service skills
  • Fluency in a foreign language is a plus
  • Occasional international travel to developing countries may be required
