Job Description

Chemonics Seeks a Manager, Management Systems Support based in PDS’ Global Operations and Improvement (GO&I) department. The Manager oversees the administration and improvement of Chemonics’ operational information within the GlobalQMS, the design of the GlobalQMS SharePoint site architecture and administration; the management of Chemonics’ internal audit program (Process Analysis); and the coordination of Chemonics’ annual ISO 9001:2015 audit with our registrar, DNV-GL. This role is open to internal and external candidates at either the Manager A or Manager B level.   • Oversees management of information within Chemonics’ GlobalQMS, including maintenance of SharePoint-based GlobalQMS site, design of system architecture, and ongoing review of resources. Documents, tracks, and reports problems related to GlobalQMS administration to the Global Operations & Improvement director
  • Oversees standards for GlobalQMS administration and resource management, including maintenance and ongoing improvement of standard operating procedures for document management, GlobalQMS SharePoint site management, management tools, etc.
  • Responsible for supporting internal and external auditing processes, including planning logistics and preparation for the annual external ISO 9001:2015 performance and re-certification audits, planning and managing internal audit requirements for Chemonics’ Process Analysis program, training and mentoring staff on Process Analysis, and conducting audits and/or analyzing internal audit results
  • Supports updates of GlobalQMS documents and business process maps using MS Visio or MS Office, as needed
  • Reviews GlobalQMS document updates prior to publishing to ensure quality standards for system are met
  • Manages and improves GlobalQMS document workbooks, dashboards, and tools that assist in system auditing, reporting, and maintenance
  • Supervises associates, assistants, or temporary staff, trains new staff on GlobalQMS tools, updates GlobalQMS standard operating procedures, and maintains GlobalQMS related information on DailyChem
  • Ensures requests and needs are promptly addressed to continue positive relationship between stakeholders and GO&I team. Responds to user inquiries about GlobalQMS access issues and provides suggestions in timely manner
  • Develops a basic understanding of international development, foreign assistance programming, and Chemonics’ present and past contributions
  • Participates on proposal teams to provide research, writing, costing, coordination and administrative support to proposals, and/or other marketing materials produced by the new business unit
  • Develops and maintains productive relationships with clients, vendors, partners, and consultants that serve to enhance Chemonics’ reputation
  • Communicates information in a way that demonstrates a basic understanding of development assistance work, Chemonics’ culture, values, and practices, and the specific scope and nature of project and proposal assignments Qualifications:
  • Bachelors degree or equivalent experience required
  • A minimum of 3 years of experience in project management, business process documentation, internal auditing, IT systems management, or related work
  • Experience supporting ISO 9001:2015-certified quality management systems
  • Experience working overseas, especially in a developing country, a plus
  • Understanding of international development preferred
  • Excellent written and oral communications skills. Demonstrated ability to communicate clearly and concisely, both orally and in writing, and lead presentations, training courses, and effective meetings
  • Strong attention to detail and exceptional organizational skills
  • Strong interpersonal and organizational skills
  • Ability to work independently or as part of a team
  • Ability to solve problems creatively, multitask, work under tight deadlines, and learn new concepts quickly
  • Strong knowledge of Microsoft Office required, and Power BI, Visio, and SharePoint preferred
  • Willingness to travel and work abroad a minimum of 4-8 weeks per year and consider placement on long-term overseas assignments
  • Demonstrated integrity, independent thinking, judgment, and respect for others
  • Strong supervisory skills an asset
  • Fluency in one or more foreign languages preferred
