Office and Administrative Assistant

USAID/Armenia Support Initiative, Yerevan

Project Summary:

The Armenia Support Initiative seeks to support the Armenian governments technical and operational capacities to define and deliver on its democratic reform agenda; sustain public support for and engagement in the reform process and provide punctual, strategic technical assistance across all levels of government.

Position Summary:

This position is responsible for assisting with office and activity coordination, and will coordinate office management issues by setting meetings, receiving goods and ensuring that files are complete. S/he will work closely with the office manager and field teams to organize meetings, reserve lodging and transportation services for local staff and STTAs, and assist in preparation for training and conferences

Responsibilities:

  • Assists the Office Manager in preparing equipment checkout forms and ensuring inventory is up to date.

  • Assists with the preparation of documentation for receiving goods and services for operations and the office, ensuring that goods delivered match specifications.

  • Assist in the preparation of backup documentation for payment for goods and services, ensuring that appropriate documentation accompanies every payment.

  • Assists field teams in coordinating meetings, conferences and travel to support grant development and implementation.

  • Draft simple documents for field and operations teams in Armenian and English, as necessary.

  • Other duties as assigned.

Qualifications:

  • A minimum of high school diploma, Bachelors degree preferred

  • A minimum of one (1) year of professional or volunteer experience in support of office and/or event management

  • Skills in record-keeping

  • Ability to work within a team and multitask

  • Professional proficiency in English
