Job Description

The Operations Officer will support the IME Director of Finance and Administration with the management and delivery of the IME project. The incumbent will support the processing and implementation of project interventions, including grant and subcontract instruments. The incumbent will further support the delivery of operational, financial, logistical and compliance activities in accordance with contractual requirements and Company Policies, Group Standard Operating Procedures (SOPs), Guidelines and client rules and regulations.

This is a full-time position based in Skopje, Macedonia.

1 General
* Ensure all administrative matters and logistics of the office are running smoothly.

Finance and Record Management
* Maintain a filing system for the project, including financial records, invoices, and procurement documentation with relevant approvals.
* Obtain invoices from vendors and negotiate competitive prices; ask for adjustments and corrections to invoices as necessary based on project needs.
* Maintain the office asset register.
* Provide assistance in scanning, copying and printing documents as requested by staff.
* Assemble digital packets of supporting documentation for the review of the Director of Finance and Administration.

Implementation Support
* Coordinate procurements and negotiate with grantees.
* Monitor subawardee financial and compliance reporting, ensuring on-time invoicing and that requirements are met.
* Provide due diligence support.
* Maintain efficient tracking and filing system. Review and propose measures to enhance management functions.
* Assist with logistics for meetings, including finding suitable venues, obtaining quotes, confirming dates and sending and tracking invitations with participants, including public officials.
* Procure and compile necessary materials for meetings and the office.
* Assist with logistics for project visitors, including arranging interviews, meetings, transportation, accommodations, etc.
* Other duties as assigned.

Requirments
* A minimum of 3 years of work experience in a similar role
* Strong interpersonal and organizational skills are required
* Ability to communicate with high-level parties and vendors in a professional manner, both via written and verbal communication
* Strong analytical and computer skills; strong attention to detail
* Ability to maintain financial records and prepare financial reports
* Ability to take initiative, work independently, and to juggle multiple priorities under tight deadlines
* Fluency in Macedonian and excellent language capacities in English required. Fluency in Albanian also desirable.

* This is a local non-expatriate position. Only Macedonian nationals or individuals with authorization to work in Macedonia will be considered.
