Job Description:

Apprio is seeking an experienced Program Assistant to support our fully funded contract with USAID. The Program Assistant will serve as a key member on the PMO Team, reporting to the PMO Office Director and providing support in the operations and management of the Office, its staff, and contractors. Responsibilities include providing advice, guidance, and assistance to LPA staff on processes, procedures, and human resources, to staff in the Bureau, to help facilitate the needs of the staff. The incumbent will also implement a number of actions related to the management and full range of administrative support for personnel, positions and space, employee relations, staffing, property management, correspondence management and tracking, logistical management, travel and records management.

The Office of Program and Management Operations (PMO) within the Bureau of Legislative and Public Affairs (LPA) for the United States Agency for International Development (USAID) is responsible for multiple functional areas and providing program, management and administrative support services to the Bureau which include travel, space planning, budget execution, procurement, property management, training and development, recruitment, organizational and workforce management. All aimed at increasing the efficiency and effectiveness of the Bureau.

Objectives

  • Ensure administrative management related functions within the office are as efficient and effective as possible.
  • Ensure quality control in all support related services and the timely resolution of any issues arising from staff related to such services.

Responsibilities:

Administrative Management - 50%

  • Provide the full range of programmatic and operational support to Bureau and PMO staff.
  • Manage the LPA supply program; manage and conduct inventory for supplies, property and equipment in conjunction and under the guidance of the administrative officer staff.
  • Provide guidance on and control official files and records per Agency guidelines.
  • Develop and manage tracking systems for internal processes, correspondence and other paperwork.
  • Support the hiring, onboarding, transfer and other staffing actions.
  • Draft and respond to information requests from USAID and non-USAID staff as appropriate.

Program oversight and assistance - 35%

  • Assists in and plans events related to programmatic and Agency needs.
  • Liaise with other bureaus and outside entities to further the Mission of the Agency.
  • Conduct research and analysis on USAID programs to address informational requests.
  • Prepare correspondence and other memos as needed to facilitate Agency programs and operations.

Document Management and Clearances - 10%

  • Serves as the team’s document manager, maintaining accessible files of current and historical products and ensuring version control for final deliverables
  • Maintains a tracking system for recording and sharing the status team’s simultaneous deliverables

Educational Requirement: Bachelor’s degree or equivalent (1-3 years of experience related to administrative and/or program management, 1-3+ years of foreign development related experience)
