Job Description

We are seeking a Program Assistant to support our Economic Engagement and Private Sector Development Group, International Services, in Arlington, Virginia. The Program Assistant will provide day-to-day administrative support for overseas projects in a fast-paced environment with quick turnarounds and tight deadlines.

Key Responsibilities

  • Serve as Project Assistant for designated donor-funded long-term projects
  • Communicate with staff (home office and overseas), consultants, and clients on contract, administrative, or logistics issues
  • Prepare employment agreements for fielding independent consultants on overseas projects.
  • Deploy consultants and staff to foreign countries: obtain visas, country clearances, and travel authorizations from funding agencies; make airline and hotel reservations; arrange for shipping/storing of household effects for long-term consultants
  • Track and maintain consultant approvals, timesheet submissions, salary verifications, expense report submissions, payments on time and expenses
  • Support events and workshops where needed on international projects
  • Search consultant database to identify consultants, enter consultant CVs in the consultant database, format and edit CVs as needed
  • Provide general administrative and logistics support for home office staff and for consultants on overseas projects
  • Provide research and administrative support to business development efforts

Job Qualifications

  • B.A./B.S. in business, finance, international development/affairs, accounting, economics, or related field
  • One or more years of work experience, which should include administrative experience
  • Proficiency in word-processing and spreadsheet software (especially in developing and maintaining budgets)
  • Proficiency in use of the Internet as a research tool
  • Strong communication skills, especially writing
  • Ability to work in a fast-paced environment, with quick turnarounds and tight deadlines
  • Ability to work as part of a team
  • Experience in event planning and coordination preferred
  • Knowledge of international geography/travel issues advantageous, international work or internship experience preferred
  • Language skills in French or Spanish strongly preferred. Other languages widely spoken in the developing world may be considered
  • Permanent U.S. work authorization required
