Job Description

Project Coordination

  • Supports long-term and short-term employees overseas on assigned projects and serves as focal point for coordinating needs between project and headquarters staff
  • Implements Company policies, SOPs and guidelines and client rules and regulations, as well as providing training and support in these areas to project teams
  • Coordinates project start-up and closeout in collaboration with other team members as applicable
  • Coordinates client action requests (for example travel, personnel additions/changes, partner, grant, budget realignment, waiver, etc.);
  • Be primarily responsible for field operations of teams to include managing travel logistics, consultant and subcontractor invoices, and travel expenses
  • Drafts and edits project reports for donors and clients, as needed
  • Participates in development and maintenance of project workplans, trackers, and other requirements
  • Develops activity budgets and oversees financial management of project budgets; including creating budget forecasting and projections, reviewing field vouchers, reconciling advances, tracking invoices and project finances
  • Reviews monthly project expenditures and send invoices to clients ensuring accuracy (monthly, milestone, or performance-based)
  • Tracks and ensures timely submission of all deliverables, including in the assistance of reviewing, editing, and finalizing all deliverables for submissions to client
  • Provides support during project audit and maintains project files
  • Coordinates with various technical and operational staff

Contract Management

  • Supports the monitoring and maintenance of compliance with prime/sub contracts
  • Review and support contract amendments or modifications as required
  • Prepare responses to requests from clients, both internal and external
  • Drafts contracts for consultants, subcontractors, and service providers; serves as primary reference point for contracting questions
  • Leads the internal approval process for contracts for services and procurement for the assigned project
  • Oversees development of project subcontractor / grant management procedures compliant with the Company’s SOPs and Guidelines and client’s rules and regulations
  • Reviews and ensures quality of field procurement; ensures compliance with Company and client requirements for due diligence
  • Ensures administrative and financial compliance with USG regulations, including regular review of the USAID ADS, FAR, AIDAR to ensure compliance

Technical Support

  • Assists with development of PMPs, program indicators, and other measurements
  • Ensures project plans developed, implemented and submitted
  • Participates in evaluation quality assurance as assigned
  • Delivers any other technical tasks as assigned

Business Development

  • Supports business development and proposal preparation activities
  • Assists with recruitment of personnel and in-country partners
  • Researches legal and project implications for potential operations in country
  • Assists with researching, writing, and production of proposals

The Project Coordinator supports project operations in the assigned QED Practice Area or portfolio and will apply his/her experience in the areas of project coordination, contract management, technical tasks, and business development. The specific purpose of the position is to support the management and implementation of effective and efficient operational, financial, and compliance activities to deliver projects in accordance with contractual obligations, company policies, Standard Operating Procedures (SOPs), Guidelines, and client rules and regulations. The Project Coordinator will report to a Project Manager or Senior Project Manager as assigned.
