Job Description

Chemonics is conducting an internal and external recruit for a Practice/PMU Associate in the Middle East and North Africa regional business unit(RBU). The portfolio of the Middle East and North Africa RBU includes work in Jordan, Lebanon, Tunisia, and Libya, as well as business development in Egypt, Morocco, and the West Bank, and covers a wide variety of technical sectors including economic growth, democracy and governance, and peace, stability, and transition. The Associate will have a split-portfolio in the MENA RBU, supporting a PMU and the Peace, Stability, and Transition (PST) Practice Team. On the Practice, the associate represents the technical team at internal and external meetings and events, researches, prepares, and presents materials for meetings and events, and conducts and participates in technical practice research and writing. The associate provides an overview of the technical area to all home-office staff, and contributes to relevant technical inputs for new business development. On the PMU, the Associate provides advanced assistance with contract administration and completes administrative tasks related to supporting project implementation. We are looking for individuals who have a passion for making a difference in the lives of people around the world. Practice Responsibilities include:
  • Coordinate on initiatives with the Center for Conflict Prevention and Stabilization (CPS Center)
  • Develop practice communication materials including brochures, info-graphics, blog posts, and website material and prepares and conducts fact checks for technical documents, including quarterly indefinite delivery, IQC reports
  • Organize logistics for practice brown bags, and moderates discussions for home and field office staff and external consultants
  • Provides logistical support at these events as necessary, including taking notes, preparing report-outs, and networking as appropriate
  • Attend external conferences and events to conduct industry outreach in the PST space
  • Participate in various new business roles
  • Liaise with proposal teams to provide technical resource documents and technical support as needed
  • Support and contribute to technical strategy sessions and conduct reviews of RFQs/RFTOPs
  • Maintain and manage corporate resource trackers, both incorporating input from others and gathering information from networks
  • Liaison with projects to support project teams in writing, editing, and submitting conference abstracts, coordinates conference report-outs, and organizes conference notes and action items
  • Coordinate technical workshop logistics for conference attendees, venue, and materials as needed
PMU Responsibilities include:
  • Lead field-office administration by coordinating travel, visa processing, travel advancements, vendor payment request, invoicing, approvals, and updating project-related trackers
  • Process field reports, including time and expense reports and other client-related reports
  • Draft and manage project-related employment and subcontract agreements
  • Coordinate with project team to compile agendas for weekly teleconference and other project-related meetings
  • Lead, under direction of supervisor, procurement and grant-related project activities
  • Support communication to field teams and client
  • Address field staff’s inquiries and needs promptly
  • Communicate scopes of work, policies, and allowances/benefits for team member and consultants
  • Manage recruitment efforts for project and suggest candidates for a variety of field positions
  • Lead budget monitoring, level-of-effort utilization, invoices, subcontractors’ costs, expense reports, deliverables, etc., to monitor compliance with contract and Chemonics’ regulations. Issue status reports as needed
  • Maintain knowledge in own discipline and begin to expand versatility in international development work by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies and Chemonics’ practice networks
  • Contribute to technical practice of relevance to areas of interest or focus, sharing information and best practices learned with the company
  • Participate on proposal teams and may mentor others
  • Coach, mentor, and train staff on Chemonics’ policies and procedures
  • Foster and demonstrate a workplace inclusive of creating opportunity, serving others, building trust, innovation, and exceeding expectations
  • Receive constructive feedback and uses feedback to improve performance and grow professionally; may provide feedback to junior staff as necessary
  • Perform other duties and responsibilities as required
  • Bachelor’s degree or equivalent work experience required; Master’s degree preferred
  • Minimum two years of relevant administrative or professional work experience
  • Minimum one year of contractual, project management, or related experience
  • Demonstrated ability to communicate clearly and concisely in both verbal and written communications
  • Demonstrated ability to handle routine administrative tasks and operational issues
  • Knowledge of PST-sector projects, including experience supporting OTI programs preferred
  • Ability to multitask with strong attention to detail, organization, and time management with minimum oversight
  • Demonstrated ability to follow standard practices and procedures, receive general instruction and supervision, and contribute to projects and initiatives
  • Demonstrated ability to mentor others
  • Excellent customer service and interpersonal skills
  • Ability to work independently and as part of a team
  • Demonstrated resourcefulness in problem solving and initiative to learn new skills
  • Strong knowledge of MS Office applications
  • Willingness to travel and work abroad in less developed countries for at least 4 to 8 weeks per year
  • Experience or demonstrated interest in the Middle East and North Africa region preferred
  • Demonstrated leadership, versatility, and integrity
  • Arabic and/or French proficiency preferred
