Job Description
PRIMARY RESPONSIBILITES
The Accounts Payable Officer is responsible for full-cycle accounts payable processing. Processes are performed on a weekly cycle according to organizational needs and deadlines. This individual will work closely with both internal departments and vendors to ensure timely processing of complex accounting transactions and the monitoring of accounting results. S/he reports to the Assistant Controller and does not supervise staff.
ESSENTIAL FUNCTIONS
Accounts Payable Management
- Manage and ensure completion of day to day operations related to the Accounts Payable function
- Review all invoices for appropriate general ledger coding, documentation, and approval prior to payment
- Prepare batch check runs, wire transfers, and ACH transactions
- Prioritize invoices according to cash discount potential and payment terms
- Coordinate with Procurement Officer to help ensure that proper documentation is submitted with check requests – update policies as needed
- Reconcile vendor statements, research and correct discrepancies
- Regularly review purchase orders in the accounting system and adjust/clear as needed
- File paid invoices and statements
- File financial reports and journals electronically
- Prepare IRS Forms 1099 and 1096 annually
- Initiate W-9 requests for 1099 vendors
- Initiate wire transfer templates in banking web site
- Wire funds to field offices and international vendors
- Communicate effectively with vendors and internal staff regarding payments
- Distribute and manage petty cash – reconcile monthly
- Send email notification to recipients of ACH transfers
- Process and review vendor reports for supervisor approval and budget/contract constraints
- Initiate new vendor requests and changes for processing by Accounting Officer
- Provide excellent customer service to both internal and external customers
Credit Card Administration
- Initiate Wells Fargo credit card access for internal staff
- Review and maintain credit limits, expense and transaction coding, and system reporting needs
- Troubleshoot system issues and individual user issues
- Audit and process credit card statements and payments
- Perform monthly download of transactions to enable entry in accounting system
General Ledger Functions
- Upload assigned field expenses into accounting system
- Reconcile assigned balance sheet accounts monthly and resolve outstanding reconciling items in a timely manner
- Assist with month-end closing processes as needed
- Assist with annual audit
Other Administrative Functions
- Perform necessary administrative duties to maintain financial information including SharePoint and hard copy filing, copying, file storage, file retrieval, and gathering requested financial information as needed
- Maintain Accounts Payable related procedures documentation as needed
- Assist with other functions in the department as needed
- Professional growth and development
- Participate regularly in meetings with the Assistant Controller, and in Finance Department team meetings for the sharing of ideas, feedback, and departmental planning
- Utilize opportunities provided for growth and professional development, including ongoing participation in training sessions, workshops, or brown bag presentations
EDUCATION/EXPERIENCE REQUIREMENTS
- Bachelor’s degree and a minimum of 6 years of experience reconciling and processing accounts payable; or a Master’s and at least 3 years of related work experience
- Ability to plan work efficiently, organize, prioritize, and manage multiple projects and priorities with accuracy and close attention to detail
- Ability to work independently with minimal supervision, within a deadline-oriented environment
- Experience with not-for-profit fund accounting software preferred (Serenic Navigator/Microsoft Dynamics a plus)
- Computer literacy in Microsoft Excel and Word
- Accredited Payables Specialist or Accredited Payables Manager preferred
WORKING CONDITIONS
- Minimum noise levels in an office environment
- Office environment requiring sitting at a desk most of the day, using hands to operate a computer and other office equipment
- Requires lifting of 0-10 lbs occasionally or as needed
