Administration and Coordination Officer

The Eleanor Crook Foundation (ECF) seeks a tested Administration and Coordination Officer with an entrepreneurial spirit that will manage the administrative needs of a growing foundation including grant administration, office management, communications management, and support to the Executive Director, Board of Directors and technical consulting team. This position and the successful applicant are expected to evolve with the Foundation, requiring a “roll up your sleeves” attitude and an ability to master both program coordination and administrative oversight. A seasoned professional who is adept at office and grant administration, is interested in growing with an expanding portfolio, would benefit from flexible work policies, and wants to have a meaningful impact on global health will thrive. Applicants based in the Triangle region of North Carolina are preferred.

Administration and Coordination Officer Responsibilities

Grant Administration

  • Manage communications with prospective and existing grantees regarding the status of their applications, disbursements, reporting, and information requests to and from ECF.
  • Review reports, budgets, and correspondence from grantees for compliance with administrative requirements of grant agreements.
  • Establish systems for the technical review of grantee reports and record keeping for administrative and technical review responses.
  • Organize and maintain up to date information on grantee programs, administration, and research, monitoring and evaluation findings provided by technical consultants.
  • Coordinate or support the Executive Director and technical consultants’ engagement with grantees.
  • Facilitate communication across grantees as needed.
  • Establish robust systems and tools for soliciting grant applicants and coordinating the review of submissions among the Executive Director and technical consultants.

Office Management

  • Serve as the primary point of contact for inquiries to ECF.
  • Sustain relationships on behalf of the Foundation.
  • Manage the creation and maintenance of communications and branding tools, for example the ECF website and portfolio and program summaries.
  • Support the coordination of Board activities including meetings, board books, board updates.
  • Supports the preparation of presentations for the Executive Director and technical consultants
  • Manage ECF events.
  • Develop other systems as needed for growing office.

Support to the Executive Director

  • Coordinate the Executive Director’s schedule and logistics.
  • Prepare briefing materials and clips to support the Executive Director’s schedule.
  • Manage and prioritize correspondence and requests.
  • Edit and complete first drafts for written communications to external stakeholders
  • Follow up on contacts made by the Executive Director and COO and support the cultivation of ongoing relationships

A successful Administration and Coordination Officer will achieve the following outcomes at ECF:

  • Impact based scheduling systems are maximizing the time of all personnel and consultants.
  • User-friendly grant solicitation, review and management processes are contributing to higher quality programming and efficient use of ECF resources.
  • Grantees, partners, board members, staff and consultants are very satisfied with the quality, frequency, and effectiveness of communications about ECF’s processes, programs, and administrative information.

Required Qualifications, Skills & Attributes:

  • A minimum of 4 years as a grant administrator, office manager, or executive assistant;
  • Bachelor degree in international development, nonprofit finance, business or related field, masters strongly preferred;
  • High level of interpersonal skills and cultural sensitivity to effectively interact with all levels of US and foreign based partners’ staff;
  • Capacity to work both independently and as a member of a team;
  • Ability to manage schedules and logistics;
  • Ability to effectively prioritize, set expectations, and manage up;
  • Ability to manage multiple tasks and projects and to meet deadlines;
  • Ability to coordinate activities with supervisors, colleagues and consultants;
  • Ability to collect data, establish facts, identify problems, and draw valid conclusions and solutions;
  • Ability to establish and maintain knowledge and information management systems;
  • Working knowledge of PC and cloud based word processing and spreadsheet applications;
  • Working knowledge of basic budget and accounting procedures;
  • Familiarity with website design and web-based content management systems, as well as online informational and organizational tracking tools;
  • High level of oral and written communication skills to effectively present information and respond to questions;
