Duties and Responsibilities

The UN Resident Coordinator System encompasses all organizations of the UN system dealing with operational activities for development, regardless of their formal presence in the country. The UN Resident Coordinator (UNRC) is the designated representative of the UN Secretary-General and leads the UN Country Team (UNCT), assuming overall responsibility for and coordination of the development activities of the UN system.

The UNRC Office for Mauritius and Seychelles has a multi-country (MCO) status. The main office is based in Mauritius and also covers Seychelles.

Key functions of the UN RCO include:

  • Strategic analysis, planning and positioning of the UN Country Team;
  • Facilitate development, implementation and monitoring of the United Nations Sustainable Development Cooperation Framework (UNSDCF);
  • Support to joint UN programming and operations management;
  • Policy guidance;
  • Joint advocacy and communications to enhance UN coherence and improve overall programme impact of the UN System in Mauritius and Seychelles.

The UN RCO for Mauritius and Seychelles is looking for an intern who has a strong interest and passion for working for the UN development system and will contribute to its crucial mandate of enhancing the coherence of the UN System. The Office requires administrative and operational support to ensure the smooth functioning of its daily activities.

In this context, the UN RCO seeks to engage an Intern – Administrative and Operational Support for a period of six (6) months to assist the Administrative Assistant and the Executive Associate as well as the Head of Office in delivering efficient administrative, procurement, finance and general office support services. The intern will report to the Head of Office.

Responsibilities

The intern will support the Administrative Assistant and the Executive Associate in the following:

Administrative Support

  • Assist in drafting routine correspondence, notes, and administrative documents;
  • Support filing, archiving and maintenance of both electronic and physical records;
  • Facilitate information flow and dissemination within the RCO, UN agencies, and partners;
  • Provide logistical support for meetings, workshops, retreats and events (venue arrangements, attendance lists, documentation, drafting minutes/summaries, follow-up action points, etc.).

Procurement and Contract Support

  • Assist in the preparation of procurement-related documentation;
  • Support the preparation of scope of work, ToRs, and specifications under guidance;
  • Assist in maintaining procurement and contract files and tracking procurement actions;
  • Support receipt and verification of goods and services delivered.

Finance and Budget Support

  • Assist in tracking expenditures and maintaining simple budget monitoring tools under supervision;
  • Support the preparation of payment requests and supporting documentation;
  • Assist in follow-up with vendors and service providers on payments, under supervision.

Human Resources and General Office Support

  • Assist with HR-related administrative tasks such as maintaining staff lists, onboarding and separation documentation, managing HR files, and providing support for intern/consultant recruitment;
  • Provide general office support, including inventory tracking, office supplies management and asset management;
  • Support with data entry, and updating of databases, including support for the maintenance of the RCO’s SharePoint, focusing on continuous improvement of lists, folders, and files in the repository.

Other Duties

  • Actively support the daily operations of the office;
  • Perform any other related duties as required in support of UN RCO operations.

Qualifications/special skills

Applicants to the UN Internship Programme are not required to have professional work experience. However, a field of study closely related to the type of internship applied for is required.

Applicants must be a student in the final year of the first university degree (bachelor or equivalent), Master’s or Ph.D. Programme or equivalent, or have completed a Bachelor’s, Master’s or Ph.D. Programme. If yes, please indicate which one and attach proof to the application. An official certificate will be required at a later stage.

Preferred studies: Enrolled in a bachelor’s (final year) or master’s degree in Business Administration, Finance, Accounting, Human Resources, Communications, or related fields.

Languages

English and French are the working languages of the United Nations. Fluency in English language is required for this internship. Knowledge of French would be desirable.

Interns are not financially remunerated by the United Nations. Costs and arrangements for travel, visas, accommodation and living expenses are the responsibility of interns or their sponsoring institutions.
