Job Description
RTI is seeking an Administrative Assistant for an ongoing USAID-funded Early Grade Reading activity in Cambodia. The essential duties will be:•
- Coordinate project teams• travel and activity requirements with travel agencies, car rental companies, hotels and other suppliers, and request for travel advance, in accordance with Finance and Administration (F&A) policies and procedures;
- Handle logistical arrangements for meetings and workshops i.e., photocopying and preparation of training materials, request for workshop supplies, arrangement of travel and lodging accommodation of participants, request cash advances, making payments to participants;
- Support the Finance and Operations Specialist by scanning, copying and filing all receipts, and financial documents as necessary.
- Handle the petty cash / daily operational funds
- Ensure the office is well stocked and organized with office supplies, including routine purchasing supplies, and equipment as requested;
- Assist the project and staff in organizing official business appointments;
- Provide support to the project in producing letters and other correspondences;
- Assist in the collection/collation of data for M&E or information needed in the preparation of reports, as necessary;
- Follow the established filing system of the Project to ensure all documents are correctly organised;
- Coordinate the timely processing and payment of all staff travel claims, vendor and supplier payments and other transactions with Finance;
- Maintain a database of all incoming and outgoing communications; handle shipping/ mailing/ delivery of outgoing communications in coordination with courier or the Office Assistant;
- Receive telephone calls and perform reception duties, as needed, in a professional and courteous manner; and
- Perform other tasks as may be assigned by the supervisor.
Minimum Qualifications:
- Bachelor•s Degree and 1 year of experience or equivalent combination of education and experience
- Excellent knowledge of MS Word, Outlook, PowerPoint, Excel
- Ability to multi-task
- Ability to work well with others
- Ability to listen and communicate well both verbally and in writing
- Ability to work independently
- Attention to detail and accuracy
- Ability to obtain proper security clearances as noted by contracts
- Fluency in Khmer and English.
