CDM Smith is currently accepting applicants for our Administrative Manager and Human Resources Partner to join our operations in Jordan.
Administrative Manager duties:
• Supervise the administrative, office and logistics support staff within the Jordan office.
• Responsible for ensuring all administrative tasks and general office management for Jordan operations.
• Support welcoming office environment that reflects our rich history and celebrates our deep culture focused on international development in Jordan.
• Manage logistics and other arrangements for stakeholder, client and project events such as: business meetings, workshops, etc.
• Responsible for all business travel arrangements including hotel reservations and airport transport for international guests coming to Jordan and Jordanian staff traveling outside of the country for business.
• Manage the resident and work permits needs of business visitors and expatriate assignees in Jordan.
• Coordinate with shipping and clearance agency for shipping expatriates’ household furniture to/from Jordan.
• Prepare/Support Lease Agreements for expatiates apartments and follow up on renewals.
• Direct Administration Assistants on the filing log for the project correspondence as required.
• Support renewal of project vehicles licensing and insurance. Ensure all are in compliance with contract and local regulations.
• Oversee vehicle logistics including safety, security, documentation with use of the vehicle fleet.
• Support Country Manager in ensuring productive office environment and as needed support physical assets inventory, office moves and new office furniture or supplies as required.
• Ensure procurement procedure are followed for purchase orders, requisition requests, advance travel allocations, and other project logistical functions.
HR Partner Responsibilities:
• Support overall human resource activities within Jordan under the direction of the unit Senior HR Manager.
• Provides counsel to management on issues involving staff, communications, etc
• Collaborate with corporate colleagues to develop, improve and administer human resource policies, procedures and programs.
• Act as the local Human Resources (HR) liaison to ensure Jordan operations adhere to local law.
• Support local hiring by working with hiring managers to develop job description, set the selection criteria, screen initial applicants to provide feedback to recruiting team, and schedule/interview prospective candidates in conjunction with Talent Acquisition.
• Prepare employees contracts for offer, extension/renewals contracts and manage personnel files to ensure all information is included and adheres to local law requirements.
• Support new hire document submittal to enable hire and onboarding to the firm.
• Support the creation and annual review of an Jordan Employee Handbook and ensure communication and distribution to employees.
• Responsible for health insurance enrollment, renewals and any issues for staff including issuing required letters.
• Under guidance of the Sr. HR Business Partner or internal legal counsel, investigate and address disputes, conflicts and grievances in accordance with CDM Smith policies and best practices.
• Support firm-wide employee development, training and performance management programs, advocating for completion of specific trainings as needed.
Requirements:
• Bachelor’s Degree in Business Administration, Human Resources, or other related field from an accredited university.
• At least ten (10) years of professional experience supporting administration and human resources in Jordan.
Excellent written and oral communication skills in English and Arabic
Prior experience working at a multinational firm or with an engineering or consulting firm advantageous.
