Job Description

The Project Coordinator works collaboratively with other members of the QED-HQ team and other QED offices to represent and advocate on behalf of overseas QED employees, and to ensure that the necessary planning, development, and management activities function smoothly and efficiently for CDC- and USAID-funded overseas health-related support services projects.

Primary Responsibilities:

Program Management

The Project Coordinator manages specific projects by:

  • Serving as the main point of contact for designated projects and liaising with other QED offices to respond to project requirements;
  • Maintaining full knowledge of project issues, including current information on the operational environment and potential risks;
  • Maintaining regular communication, through emails and calls, with QED field-employees, clients and country field offices to ensure that QED staff are supported throughout the course of their assignments facilitating smooth work implementation;
  • Participating in project award startup processes, including mobilizing QED employees and securing appropriate work permits and visas as needed;
  • Training/Orienting staff on QED operations and tools;
  • Providing technical support to proposal development and award implementation;
  • Securing client approval on QED field-employees’ work-related travel;
  • Coordinating preparation of project related employment and other agreements and tracking payments;
  • Tracking expenditures and carefully monitoring overall award level budget;
  • Supervising and monitoring local legal and logistical providers contracts and services;
  • Assisting field employees in the development of reports, work plans, and other contractual obligations, and ensuring timely submission and quality of content;
  • Ensuring project intellectual capital is properly captured, filed and disseminated;
  • Supporting timely and orderly project closeout, including ensuring satisfactory completion of the activity and completion of performance evaluation forms from both clients and employees;
  • Traveling to field sites to provide project support, as needed.

New Business

The Project Coordinator provides new business support to specific project and task order bids by:

  • Contributing to the writing of technical proposal responses bids;
  • Assisting in recruitment of incumbent and new candidates;
  • Providing supporting cost proposal information in response to bids;
  • Participating in the development of business development strategies in collaboration with the project team and QED leadership;
  • Researching and preparing client and country background documentation and information for future responses.

Other
The Project Coordinator also contributes to the project team by:

  • Participating in team-wide meetings and initiatives;
  • Promoting integration and cross fertilization of ideas and information across projects and regions;
  • Participating in initiatives within QED related to assisting corporate Operations with developing standards, policies, management tools and training;
  • Responding to other requests as directed by the Project Director or Vice President of Programs.

Required Skills & Qualifications:

  • Master’s Degree in a relevant field preferred
  • Knowledge of international public health and development issues, with 1-3 years of overseas experience desirable
  • Knowledge and understanding of CDC, USAID and/or USG policies, procedures, and regulations;
  • Demonstrated ability to establish and sustain interpersonal and professional relationships with the client and with staff in overseas offices;
  • Demonstrated ability to problem-solve complex issues, using strong analytical skills, and to proactively anticipate work requirements;
  • Strong team player, flexible, and able to work with minimal supervision;
  • Strong oral and written communication skills;
  • Demonstrated ability to multitask with ease, adapting to frequently changing priorities;
  • Good negotiating and conflict resolution skills;
  • Experience with budget development and monitoring;
  • Foreign language proficiency in French, Spanish, or other relevant language desirable;
  • Mastery of word processing, spreadsheets, database use, and presentation software (Microsoft Office); and experience with using and researching the Internet.
