SUMMARY OF ROLE

The Communications Officer provides editorial and production assistance and supports the general operations and workflow of IntraHealth’s Communications and Advocacy Department. His/her efforts actively contribute to communications and advocacy projects and products that continually raise IntraHealth’s public profile, visibility, and innovation in global health aligned with IntraHealth’s mission and strategic plan.

The Officer possesses a versatile communications skills set and assists in a range of tasks including writing, formatting, copyediting, proofreading, social media, and designing and producing routine products and deliverables (e.g. technical reports, PowerPoint presentations, handouts, invitations, flyers). S/he also coordinates support for more complex products, including providing detailed specifications, and managing review processes and timelines. S/he supports the department’s management of organizational conference participation and technical publishing through assisting in dissemination of materials and managing tracking and production calendars and logistics for conferences and other events.

The Officer plays a key role in the department’s workflow by managing requests for support submitted from staff throughout the organization via an online form (e.g., for graphic design, technical publication editing and formatting, handouts and materials for events, business cards, presentation assistance, translation services). As part of this role, the Officer coordinates outsourcing of translation, printing, and other communications-related services, including contacting external consultants/firms, reviewing proposals/estimated costs, liaising with project managers and vendors, reviewing final products to assure consistency with IntraHealth’s standards and guidelines, working with printing firms, and coordinating invoicing and payment. S/he is well-versed in IntraHealth administrative and procurement processes.

Essential Functions:

  • Provide editorial and production assistance and coordination for communications projects, outreach, and products, including writing, copyediting, formatting, proofreading, and basic design
  • Manage the Communications and Advocacy requests for support system (i.e., communicating with other team members to assign requests appropriately; communicating with “clients” on timelines and details; handling appropriate types of requests her/himself)
  • Coordinate outsourcing/procurement of printing, translation, and other services to outside consultants and vendors
  • Maintain calendars for tracking department-coordinated products, conference participation, and events
  • Coordinate conference registrations and exhibit logistics; coordinate dissemination of publications and exhibition materials at conferences and events including maintaining/tracking stocks of materials and promotional items

Education/Experience Requirements:

  • Bachelor’s degree in English, communications, journalism, marketing or related field, with four years of experience; or Masters’ degree in one of the above or related fields, with two years of experience
  • Strong organizational skills and attention to detail
  • Computer skills in Microsoft Word, Excel, PowerPoint, and Adobe programs
  • Strong oral and written communication skills
  • Ability to travel domestically and internationally
  • Ability to function in a face-paced environment and juggle multiple tasks at once.
