Job Description

Job Purpose: The Corporate Services Officer will work with the Head of Internal Audit and Risk; the Data Protection, Corporate Services and Finance Officer; and the Director of Compliance Services to ensure that Internal Audit, Legal, Insurance and Pension activities are managed throughout the organisation

Key Responsibilities:

Pension Support Services

Point person in Concern for the organisations pension schemes. This involves:

  • Administration of Concern’s defined contribution and defined benefit pension schemes.
  • Liaising with Concern’s pension providers, staff and management in relation to pension queries and related administration.
  • Monitoring, reviewing and updating Concern pension membership records.
  • Arranging, attending and providing administrative support for pension trustee meetings.
  • Managing any project related work in relation to the defined contribution and defined benefit plans.
  • Providing other general administrative assistance as may be required.

Insurance and Staff Benefit Support Services

  • Managing the renewal of Concern’s group insurance policies;
  • Managing the renewal of Concern’s permanent health insurance and death in service benefit arrangements;
  • Being the initial point of contact for general staff queries relating to Concern’s group insurance policies and staff benefits
  • Updating relevant guidance where neccessary
  • Administering claims where necessary

Counter Terrorism Support

  • Provide Counter Terrorism support and training for the implementation of the relevant policies
  • Carry out regular checks as outlined in Concern’s Preventing the Diversion of Organisational Resources Policy
  • Prepare a report on the compliance with the policy for the Serious Incident Monitoring Group
  • Prepare an annual compliance report with the policy for the Audit and Risk Committee
  • Provide technical support to users accessing the system.

Country office support

  • Preparing the Power of Attorney for the country teams as needed.
  • Managing the power of attorney database
  • Coordinating the annual country registration reviews
  • Providing admin support to IPD and country teams requiring up to date details of Board members, SMT etc.

Other

  • Ensure process documents related to the Corporate Services Department are in place and updated where necessary
  • Maintain the sanctioned countries spreadsheet for the orgainsation.
  • Carry out specific project work for the Corporate Services Department.
  • Cover Reception at lunch-hour every 3 weeks approximately

Skills and Experience Required:

Essential:

  • 1 – 2 years’ experience in pensions/insurance/finance or legal administration.
  • Systems admin experience.
  • Strong competence is all Microsoft Office packages.
  • Excellent interpersonal skills
  • Strong office administration skills.
  • Excellent organisational and numerical skills.
  • Interest in development issues and a commitment to Concern’s work with people in the Developing World.
