Director of Administration
Reporting to the Chief Executive Officer (CEO), the Director of Administration manages the overall daily office operations of Pangaea Global AIDS Foundation (Pangaea), including office management, technology, human resources, contracts and management of Pangaea’s administrative staff.
Essential Job Functions:
The Director of Administration works to improve processes and policies, manage administrative staff, and lead long term organizational planning. Specific responsibilities include:
* Management: manages daily office operations, negotiates contracts, manages vendor relationships, acts as primary liaison with Pangaea’s landlords (and subtenants), develops and oversees office standard operating procedures.
* Technology: oversees network administration, manages phone system and evaluates information systems.
* Human Resources: oversees the organization’s human resources requirements; including employee on-boarding, managing and administering health and other employee benefits, maintaining personnel records, monitoring insurance coverage and ensuring that personnel policies are up-to-date.
* Manage Administrative Staff: including front of office, and travel coordination.
* Coordinates long-term organizational planning: coordinates the implementation and operation of Pangaea’s strategic plan.
* Oversees contracts and grants management: develops and implements a contracts and grants management system, with the support of third party consultants.
* With the CEO, updates and implements Pangaea’s development strategy, oversees individual solicitation leads and processes, as agreed with the CEO.
* Serve as a member and secretary of Pangaea’s management team.
* Other responsibilities, as agreed with the CEO
Knowledge, Skills and Abilities
* Proven management leadership skills, while taking a “hands on” implementation approach when needed, in a small organization
* Excellent interpersonal and relationship building skills
* Flexibility and ability to work on multiple projects
* Excellent written and verbal communication and presentation skills, including the ability to articulate in a compelling fashion Pangaea’s mission and programmatic goals and achievements to diverse stakeholders
* Ability to work effectively as part of a team
* Ability to use considerable judgment, initiative and independence
* Ability to maintain confidentiality.
* Ability to work comfortably with diverse populations, with sensitivity to issues concerning HIV and all disabilities.
* Ability to perform routine bending/stooping while filing.
* Ability to perform routine twisting/reaching while working at computer/desk.
* Ability to perform routine walking/standing during course of day.
* Ability to hear and speak well enough to converse over telephone 100% of the time.
* Ability to see well enough to use computer efficiently and read computer reports and correspondence 100% of the time
Education and Experience
BA degree in business or international business or related field; fifteen years of successful experience in HIV & strategic program development; business planning & operational management; human resource experience desirable; experience in conducting business in highly politicized environments, often with unstable governments; travel both internationally and nationally.
Preferred: Advance degree; experience in non-profit and/or for-profit “start up” phases of organizational development; experience in nonprofit management; public administration; health services
