Functional responsibilities
Reporting directly to the Administration Associate at the Front Office, the Intern will have the following responsibilities:
Administrative support to senior management
Support the Front Office with assistance to senior management, including scheduling of meetings, tracking tasks, taking meeting minutes and preparing briefing notes.
Support with the follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports, briefing notes, talking points, background notes etc. to the Director.
Support the Front Office with managing mission preparations, developing mission agenda, arranging meetings, and travel arrangements as needed.
Administrative/Front Office support
Support with overall front office support function to the wider team including logistics and admin support including during events.
Support with drafting of routine correspondence, Note Verbales, general briefing notes, documents and reports.
Support with other administrative duties/processes (e.g. leave and attendance records for the office, team calendars, distribution lists and groups).
Other administrative tasks assigned by the unit.
Training components and learning elements
Written and oral communication in a professional, executive-level environment enhanced through the preparation of background notes and pre-meeting materials
Meeting and database management, through experience in scheduling, coordinating, and organizing meetings, with exposure to tools and systems used for high-level engagement.
Exposure to nutrition related issues through active involvement in the preparation and logistical support for meetings and engagements at high level global events and country visits.
Direct experience in diplomatic engagement logistics, through involvement in the organization of high-level meetings, and providing logistical and communication support to senior leadership.
Education/Experience/Language requirements
Professional work experience is not required for this internship.
The following experience will however be an asset:
Prior work experience in office/ front desk administration is an asset.
Experience with teamwork is desirable.
Good organizational skills with the ability to manage multiple tasks and deadlines is desired
Fluency in English is required.
Working knowledge of French is desirable.
