Organizational Setting
The Department of Management’s Division of General Services (MTGS) provides support functions to the IAEA through its five Sections, namely the Archives and Records Section (ARMS), the Commissary Management Section (CMS), the Facilities Management Section (FMS), the Transport and General Support Section (TGSS), and the Seibersdorf Laboratories Services Section (SLSS).
Main Purpose
Reporting to the Director, Division of General Services (DIR-MTGS), the General Services Coordinator, coordinates and provides leadership, operational support and oversight in all matters related to general services and logistics in support of Agency projects implementation. The General Services Coordinator is responsible for coordinating general services within the scope of the projects implemented by scientific Departments.
Role
The General Services Coordinator is: (i) an adviser to DIR-MTGS on matters of, strategy and complex logistics and general services support issues and operational services; (ii) a specialist, ensuring prompt and efficient service delivery, and effective results; and (iii) an expert, responsible for effective and efficient resources management.
Functions / Key Results Expected
- Provides guidance, technical leadership and advice to the staff of the Agency involved in logistical matters, ensuring knowledge and quality management.
- Promotes internal and external collaboration and ensures impartiality.
- Ensures strategic integration of the program and project outputs: leads the collaborative planning of the programme of the Division, identifies and encourages linkages with related work units, internal and external stakeholders, and integrates the medium-term strategy with business requirements and vice versa.
- Advises on opportunities for coordination and cooperation with VIC based organizations and liaises with them on projects of common interest.
- Advises on the actions required to maintain and increase cooperation with other Divisions/Departments.
- Manages the relationship with the external partners, diplomatic missions, and other international organisations.
- Supports change initiatives, promotes quality management, and fosters innovative solutions.
- Advises on the design, planning and implementation of divisional programmes and projects, liaising with other Divisions and respective Programme Managers to coordinate preparation programme planning, assessment, evaluation, and reporting.
- Monitors Divisional programme implementation considering departmental strategy and assists in the realization of the programme proposals in coordination with other Departments.
Qualifications, Experience and Language skills
- Advanced university degree in international development, business administration, management, social studies or related field.
- Minimum of seven years of relevant professional experience in management and coordination of operations in international environment,
- Experience in programme development and management preferably in an international setting with focus on management and organisational development.
- Demonstrated leadership and negotiation experience.
- Excellent oral and written command of English. Knowledge of other official IAEA languages (Arabic, Chinese, French, Russian and Spanish) is an asset.
