Job Description
RESPONSIBILITIES
General Responsibilities
- Processing customer logistics requests (LOGREQs) and taking appropriate actions in a timely and cost effective manner.
- Verifying customer requirements as necessary, identifying and keeping track of related end-items.
- Ensuring the accuracy of information provided to the customers regarding the status of their logistics requirements.
- Reviewing contractors’ invoices and supporting documents for compliance with contractual, logistic and technical requirements prior to certification.
- Assisting in the execution of relevant contract administration and monitoring the provision of contactor services based on customer requirements.
- Assisting in processing the customers and/or suppliers Quality Assessment Forms and Discrepancy Reports.
- Assisting in creating and maintaining master data records and ensuring their accuracy.
- Assisting in monitoring periodically the logistics operations through SAP reports/transactions and taking appropriate action as required.
- Assisting in reconciliation meetings with customers and suppliers.
- Preparing correspondence, presentations, reports, database queries and statistics as required using modern office automation equipment and software.
- Participating in meetings and conferences within the Agency as required.
- Executing other related tasks as required in peacetime and any other appropriate tasks assigned in times of crisis or war.
- In the event of crisis or war the incumbent will, subject to the agreement of their national authorities, remain in the service of the Agency.
Specific Responsibilities
- Assisting in monitoring contractor’s performance, within delegated authority, to ensure that the technical contractual conditions are fulfilled.
- Following up on quality issues identified in Quality Assessment Forms and Discrepancy Reports.
- Assisting in maintaining and updating the Naval Operational Support (NOS) Operating Procedures (OPs).
- Processing data entry, reporting, analysing and recording of essential email traffic.
- Assisting in preparing briefings and other information for customers on all aspects of port operations.
- Participating in technical evaluations and coordinating with the Section’s staff.
- Participating in contract renewal activities in coordination with Procurement staff
QUALIFICATIONS
General Qualifications
- Complete secondary school or equivalent education.
- Experience in logistics operations normally acquired as a Senior Clerk after three to five years in the Agency or in a similar organisation.
- Knowledge of and experience with the Agency’s enterprise software (SAP).
- Knowledge of information systems at end-user level with experience in using personal computers and software packages.
Specific Qualifications
- Naval or commercial-maritime logistics experience gained in support of ships in foreign ports.
- Experience in contract management, husbandry requirements, provisions, fuel requirements, ashore support and/or miscellaneous requirements.
- Knowledge of Microsoft Office Suite
