Overview

We are currently in search of a highly motivated and detail-oriented individual to join us as a Knowledge Management (KM) Officer. The primary responsibility of the KM Officer will be to actively support our organization’s knowledge management initiatives. This includes collaborating with cross-functional teams to utilize SharePoint effectively and ensuring that Jhpiego’s virtual platforms, tools, and systems are aligned with the organization’s needs and preferences. Additionally, the KM Officer will play a crucial role in supporting Jhpiego’s communities of practice, ensuring their optimal functioning and facilitating knowledge exchange and collaboration among members. The officer will also contribute to fostering stronger connections across the organization by facilitating knowledge exchange between countries and projects. Moreover, the KM Officer will actively participate in training, providing support, and maintaining KM systems, processes, and tools. A strong focus on these areas will be essential in this role.

Responsibilities

SharePoint Support

  • Supports the strategic use of SharePoint and ensures that Jhpiego’s virtual platforms, tools, systems effectively respond to the needs, requirements, and preference of our organization’s diverse, multilingual, and geographically dispersed global workforce
  • Collaborates with stakeholders across the organization to understand their requirements, gather feedback, align SharePoint capabilities with business goals.
  • Supports content management best practices and ensure content is organized, searchable, and easily accessible.
  • Provides training and support to end users including conducting training sessions, developing user guides, organizing awareness campaigns, and addressing user queries or issues related to SharePoint functionality, navigation, and use.
  • Regularly monitors the performance and health of SharePoint sites and pages, identifying and resolving issues to ensure optimal performance.

Communities of Practice

  • Provides support to Jhpiego’s communities of practice, ensuring their efficient operation and fostering knowledge exchange and collaboration among members, while enhancing their visibility throughout the organization
  • Facilitates various aspects of nurturing communities of practice. This involves creating a welcoming and inclusive environment, encouraging participation, and guiding conversations to promote sharing and learning.
  • Coordinates community events to foster engagement and participation. This includes arranging regular meetings, virtual or in-person gatherings, workshops, and seminars to provide opportunities for members to connect, collaborate, and learn from each other.
  • Fosters connections and relationships among community members by encouraging networking and helping to build a sense of trust and camaraderie within the community to contribute to its long-term success.
  • Supports subject matter experts and collaborate with teams across the organization to identify, capture, and document valuable knowledge and best practices and share them on the CoP platform.
  • Provides training and support to community leads and members including conducting training sessions, developing user guides, and organizing awareness campaigns.
  • Regularly monitors community activities, including tracking participation, analyzing community metrics, and collecting feedback from members.

Knowledge Exchange & Sharing

  • Facilitates the exchange of knowledge between countries and projects, promoting stronger connections throughout the organization to broaden perspectives and engage a diverse array of partners in meaningful learning exchanges
  • Coordinates with key stakeholders to help identify targeted areas where knowledge exchange can yield valuable outcomes. Collaborate in defining the objectives, desired outcomes, and target audience for the knowledge exchange.
  • Assists in matching participants from various countries or projects based on their areas of interest, expertise, and alignment with the knowledge exchange objectives.
  • Supports the introduction of innovative approaches, tools, and techniques to enhance knowledge sharing, collaboration, and organizational learning among country teams.
  • Monitors and tracks participation in knowledge exchange activities, provides recommendations on how to improve future activities, and provides ongoing support and follow-up to participants as they implement the knowledge gained from the exchange.

Project & Programmatic Support

  • Provides support to projects, programs, and teams in order to promote and advance knowledge management activities
  • Provides direct support project-level KM activities, as needed and as defined by projects.
  • Provides training and support for staff to access and use Jhpiego’s KM platforms, tools, and approaches.
  • Collaborates with Principal KM Advisor and country KM Focal Leads to identify knowledge gaps, set targets, and define KM strategies and implementation plans.
  • Provides support to structured learning activities, pause and reflections, after action reviews, and lessons learned events.
Required Qualifications
  • Master’s degree in public health, knowledge management, information science, library science, social science or a related field.
  • 4-5 years’ related experience in knowledge management related activities such as knowledge capture, curation, synthesis, dissemination, and storage at the project or organizational levels; project management
  • Oral and written fluency in English.
  • Familiarity with applying KM principles, methodologies, and best practices.
  • Proficiency in using software applications, such as Microsoft SharePoint, document management systems, or other collaboration tools.
  • Strong organizational and project management skills with the ability to handle multiple tasks and prioritize effectively.
  • Effective communication and interpersonal skills to collaborate with cross-functional teams across the world.
  • Excellent attention to detail, accuracy, and quality of deliverables.
  • Ability to work independently as well as contribute to a team environment.
  • Awareness of global public health issues, priorities, and trends or related fields.
  • Familiarity with global health donors and major institutional partners.
  • Experience working in relevant in low- and/or middle-income countries
  • Experience handling program tasks (e.g., close out, work plans, reporting, budget)
  • Experience working with M&E systems and teams and/or familiarity with data repositories.
Preferred Qualifications
  • Oral and written fluency in French.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
