Role definition

Role Context and purpose

The Payment Officer works within the Payments team. The Payments team works closely with the wider Christian Aid (CA) organisation to ensure that all payments made by Christian Aid are fully and correctly recorded on a timely basis, comply with internal and external policy, and reconcile. Role purpose:

  1. Set up day to day payments from CAUK including oversea grants payments domestic and other overseas payments and update systems
  2. Support the full Purchase to Pay (PTP) process in PROACTIS including purchasing, supplier management and contract management.
  3. Assist with System testing and provide ongoing support and maintenance once operational
  4. Timely and correct recording of all payments

Key Deliverables

  1. Key focus will be to ensure that the payments system/s (SUN, PROCATIS etc) are efficiently used and kept up to date at all times. Any issues are quickly identified and resolved
  2. Within agreed deadlines propose Payment run as required (daily/weekly), present backup documents for sign off, set up payments via on-line banking platforms and prepare for authorisation. Report on currency requirement for FX trading.
  3. Supplier and Contract Ledger Maintenance.
  4. Daily PTP exception reporting on non-compliance
  5. Month end routines completed accurately and within timescales: accruals, prepayments, reconciliations, and reporting
  6. Run Aged Creditors reports with commentary.
  7. Complete full reconciliations for Christian Aid and all its subsidiaries (as required). Monitor and escalate any issues.
  8. Prepare the information required for external and internal audit purposes.
  9. Provide cover for team members as required
  10. Contribute to process of continuous improvement to ensure fully streamlined processes and adherence to latest policy and procedures
  11. Assist with regular updates and training to all PTP users
  12. Other tasks to be completed as directed by the Payment Manager

Person specification

Applied skills/knowledge and expertise

Essential

  • Experience of P2P (including Contract and Supplier Management) reporting and management reporting
  • SUN Systems (with Q&A) and PROACTIS (or equivalent system)
  • Knowledge of bank and general ledger account reconciliations
  • Educated to a minimum of A level standard or equivalent, or qualified by experience
  • Charity accounting principles.
  • Experience of working in multiple currencies
  • Good level of communication skills and able to assist delivery of training to finance and nonfinance staff Desirable
  • Advanced working knowledge SUN and PROACTIS P2P
  • Advanced excel
  • Knowledge of Charity Accounting principles
  • Ability to provide training on Income related financial management
