Payroll and Disbursement Manager Position

The Payroll and Disbursement Manager oversees all functions of Payroll and Accounts Payable within the Finance & Accounting department in headquarters, ensuring timely and accuracy in monies distributed to employees and off-site vendors and maintaining all related data while providing a variety of internal and external payroll related reporting. In addition, the Payroll and Disbursement Manager works in close collaboration with the Talent Management team.

Position Summary

Reporting to the Director of Accounting, the Payroll and Disbursement Manager’s main duties and responsibilities include:

Payroll

· Be the main contact and manage all aspects of the semi-month payroll process in UKG HRIS system, which includes payroll data processing and updating, as well as troubleshooting payroll issues for U.S.-based and international staff.

· Prepare semi-monthly and monthly payroll journal entries, including salary allocation, fringe benefits calculation, expatriates’ allowances and adjustments as needed.

· Open state employer identification number accounts when needed.

· Reconcile 941 quarterly reports versus GL expense.

· Manage all timesheet for HQ and expatriates.

· Train employees in timesheet software.

Accounts Payable

· Maintain entire HQ A/P systems.

· Code and process payments on Great Plains (GP) accounting system on a weekly basis.

· Contact vendors as needed to clarify invoices and accounts.

· Reconcile and maintain accruals, prepaid accounts, employees related travel advances and employees’ Account Receivables through Concur.

· Process domestic and international wire transfers and ACH payments through online banking.

· Develop and adhere to A/P monthly closing procedures.

· Review and file month-end closing reports as required.

· Reconcile month end A/P trial balances to GL control account(s)

· Research and solve issues related to Cash Disbursements.

Other

· Prepare and distribute annual 1099 form to vendors.

· Prepare and upload semi-monthly retirement plan contribution report.

· Assist in plan contribution annual compliance requirements.

· Assist in preparation of annual ACA compliance reporting.

· Assist in preparation of annual external audit.

· Assist in all other compliance related matters.

· Leadership, collaboration, and communication: The Payroll and Disbursement Manager must have excellent leadership, collaboration, and communication (verbal and written) skills with the ability to effectively interface with and positively influence numerous stakeholders.

· Computer and software proficiency: The Payroll and Disbursement Manager must be tech savvy to learn, implement and maintain effective payroll and accounting software systems, models, and other analytical tools.

· Interpersonal and cross-cultural skills: The Payroll and Disbursement Manager must be able to interact with staff in HQ and the field in a collegial, professional, and diplomatic manner.

Required Qualifications

· Bachelor’s degree in accounting and/or 7+ years of experience managing payroll function, auditing, and other business operations.

· Experience in Ultipro/UKG is a plus.

· Demonstrated experience and ability to manage, train, and develop staff.

· Demonstrated ability to perform and prioritize a variety of tasks on short notice within designated deadlines in a fast-paced environment.

· Strong understanding of the international banking environment and regulations, to include OFAC compliance

· Solid technical knowledge in electronic funds transfer management.

· Demonstrated experience with use of multiple online banking platforms.

· Demonstrated essential financial and accounting operational Knowledge including internal controls and best practices as applied to the disbursements function.
