Job Description

The Henry M. Jackson Foundation for the Advancement of Military Medicine Inc. (HJF) is seeking a Program Assistant to provide programmatic support to Global Health Programs (GHP) in Bethesda, Maryland. HJF provides scientific, technical and programmatic support services to GHP.

Responsibilities:

  1. Takes, distributes, and files minutes for conference calls and meetings.
  2. With consultation from the Director and other GHP staff as necessary, supports the Executive Coordinator to prepare and distribute agendas for the triannual GHP HQ meetings.
  3. Drafts memos and letters on behalf of the Director and other GHP staff.
  4. Edits and proofreads a wide range of GHP-related documents, composed for both internal and external audiences.
  5. Reviews GHP PowerPoint presentations, and makes edits as necessary to ensure consistency in formatting.
  6. Serves as liaison between GHP and the MHRP Communications department.
  7. Ensure effective and beneficial interaction among staff dedicated to GHP activities through the use of RetroNet (MHRP internal intranet); the Exchange (newsletter on MHRP activities, developed on a periodic basis with MHRP Communications department); managing incoming monthly reports from sites; and other methods TBD.
  8. Serve as the GHP IT specialist, to include expertise in MS Office Suite; providing informal IT-related tutorials; and troubleshooting and identifying solutions for a variety of IT-related problems.
  9. Support contracts officer representative on grants, contracts and cooperative agreements, by generating information and reports on GHP PEPFAR activities and budgets.
  10. Performs other duties as required.

Required Knowledge, Skills, and Abilities: Exceptional proficiency in Microsoft Office (Word, Excel and PowerPoint). Intuitive understanding of technology, and the ability to quickly pick up on new interfaces/concepts. Excellent written and oral communication skills in English. Strong proofreading and editing skills. Flexibility and willingness to learn. Extremely detail-oriented. Ability to work independently, and as part of a team. Ability to multitask and to meet tight deadlines. Interest and/or experience in public health, international development, or a related field is a plus.

Minimum Education/Training Requirements: Bachelor’s degree preferred.

Minimum Experience: 0 - 2 years of experience working in an office environment.

Supervisory Responsibilities/Controls: Reports to the Technical Director for Strategic Management

Work Environment: Office/field environment; may require working evenings and weekends.
