This is a full-time position based out of our New York City office location, where a hybrid office schedule is in place. We offer highly competitive compensation and comprehensive benefits. This is a non-exempt position eligible for overtime pay for hours worked in excess of 40 in a given work week.
The Position:
This position supports the Bloomberg Philanthropies Data for Health Initiative which aims to enhance public health data collection and use in low- and middle-income countries. Under the Initiative, Vital Strategies, in partnership with other global public health organizations, is implementing a program to improve civil registration and vital statistics (CRVS) in countries and municipalities in Africa, Latin America, Asia, and the Pacific.
The CRVS Improvement Program involve interventions designed to improve the registration of births and deaths, improve the availability and quality of cause of death information for both facility- and home-based events, and improve the timeliness of available vital statistics information and reports.
The Project Assistant, CRVS Improvement will help execute the administrative and operational needs of the program across several countries and sub-teams, providing program and implementation support to CRVS Programs in two-three countries in Africa and/or Latin America, working closely with country teams and Regional Deputy Directors. The Program Assistant will report directly to the Regional Deputy Director for Africa.
Specific Duties:
• Provide administrative support to the CRVS improvement program
• Organize in-country, regional or global meetings by assisting with planning (e.g. budgets, agendas, confirming participant attendance), preparing meeting materials, communicating with relevant stakeholders, and coordinating logistics for participants, including air travel, per diem, and accommodation in coordination with Senior Program Officers and Country Coordinator
• Manage logistics for the provision of technical assistance by external experts
• Provide other program and implementation support, including but not limited to, scheduling team meetings, processing consultant expense reimbursements, and participating in country implementation calls
• Liaise between the internal Vital Strategies’ departments including Procurement, Travel Agency, Legal Counsel, IT, Grants and CRVS teams based in the NY and Singapore Office and provide administrative support as needed
• Devise and maintain organizational systems for the program including accurate materials filing systems through a variety of platforms and software (Monday, Microsoft Teams, AirTable, etc.),
• Prepare presentations and assist with creating and distribution documents including assistance with editing and formatting project reports and related materials
• Perform data entry using work processing, spreadsheet or database commands, and format materials as required
• Perform any other duties as assigned by the U.S.-based Senior Program Officers and Deputy Director, Project Management (change to SGP SPO and Romain’s title)
• Backstop other Program Assistants and Administrative Officer in the CRVS Improvement Program as needed
• Travel in-country as needed
Qualifications and skill set:
• Diploma in Business Administration, Commerce or other relevant studies
• At least three (3) years of working experience in a similar capacity
• Excellent organizational and time management skills
• Proven ability to manage multiple ongoing tasks
• Patient and adaptable to fast-paced and rapidly changing environments
• Strong project management skills
• Strong interpersonal skills with the ability to work with remote members of the team
• Exceptional attention to detail
• Ability to prioritize tasks and work efficiently with sometimes minimal supervision
• Determination and drive to see tasks through to the end
• Demonstrated sensitivity in handling confidential information
• Excellent computer skills; proficient user of Microsoft Office suite (Word, Excel, Outlook, PowerPoint)
• A global outlook; keen interest and knowledge of current affairs globally
• Excellent English, proficiency in Spanish or French language preferred
• Possess a genuine interest in the mission and vision of Vital Strategies
Working Conditions and Physical Requirements:
· The position is based in New York City
· Remote/Work from Home flexibility (per organization policies)
· Occasional travel to country and partner locations will be required, to attend critical in-person meetings
