Under the supervision of the Program Manager, the Program Coordinator (PC) will serve as a supporting member of the home office program management unit (PMU). The PC manages client contracts, supports project field operations, and coordinates home office project backstopping. The PC supports overall operational, contractual, and financial management of the project, and coordination and management of field office operational staff. The PC contributes to business development efforts and participates in divisional and corporate initiatives. Successful Program Coordinators are detail oriented, entrepreneurial, flexible, and focused on delivering outstanding support to our field teams, partners, clients, and beneficiaries. The PC will report to the Program Director.
Essential Functions:
· Provide day to day home office program management support and ensure effective and efficient coordination between the home and field offices.
· Be familiar with relevant policies and procedures including: US and project host country laws and regulations and nuances; DT Institute policies and procedures; and be accountable for project compliance with regulations, policies, and procedures of the projects’ funding source(s).
· Interpret and advise on company policy and regulations to field teams, partners, clients, and beneficiaries.
· Mobilize, and demobilize short-term consultants and long-term project staff.
· Work to orient consultants and staff to DT Institute and project objectives, procedures, resources, and relationships; monitor processes to ensure that proper procedures and rules are followed.
· Ensure that all project technical deliverables are formatted with proper branding requirements established by the contract and properly archived in the home office filing system.
· Maintain project files and audit as needed.
· Work with Program Manager to assure consistency and accuracy with funder approval requests and all project-related procurement.
· Develop, update, and maintain consultant agreements.
· Draft and assist with the management of subcontracts, with oversight by Program Director.
· Prepare, support, and monitor invoices, expenditures, and budgets of subcontractors and beneficiaries for grants and contracts including inputting monthly invoices into budget tracker, assist with the preparation of budget modifications, and assist with budget projections as needed.
· Process contract submission documents including personnel approvals, subcontract modifications, and procurement actions.
· Copy edit project deliverables
· Prepare information needed for business development and DT Institute communications materials such as past performance reviews, CVs, charts, program summaries/brochures, and concept papers for current and future programs and funding opportunities.
· Attend relevant events and generate summaries for PMUs.
· Assist with project start-ups and closeouts including travel to the field as required, sometimes on short-notice.
· Analyze regional and country context relevant to assigned program(s).
· Support all meetings with agenda creation, minute collection, and follow ups.
· Other duties as assigned or requested.
Education & Experience:
Bachelor’s Degree in related field, including: International Relations; Political Science; Government; Economics; Business; International Development, or a relevant combination of education and work experience required. 1-3 years professional work experience; PMU-specific experience or experience in a related field strongly preferred;
or
Master’s Degree in related field, including: International Relations; Political Science; Government; Economics; Business; International Development, or a relevant combination of education and work experience required. 0-2 years professional work experience; PMU-specific experience or experience in a related field strongly preferred.
Minimum Qualifications:
· Ability to travel and work overseas on short term technical assignments up to 25%, sometimes on short notice. (Post COVID)
· Team player with the ability to work independently and, at times, with minimal direction.
· Ability to communicate clearly and concisely, both written and verbally.
· Ability to take initiative and handle multiple tasks under tight deadlines while maintaining keen attention to detail.
· Excellent organizational skills.
· Proficiency in Microsoft Suite (World, Excel, and PowerPoint).
· Fluency in written and spoken English.
· Preferred Qualifications:
· Language ability in Persian. (Highly desired but not required)
· International travel experience (personal or professional)
· Field experience, preferably in a developing country
· Strong organizational skills
· Proven ability to provide administrative support to donor-funded development programs
· Interest in and knowledge of the Middle East, Iran, as well as independent media, civic tech, open access to information, civil and human right.
