DESCRIPTION
The Program Coordinator (PC) will work to support JSI’s Center for Immunization and its Center-managed projects. The PC will work under the supervision of the Immunization Center Senior Program Managers/Program Managers to implement Center objectives, activities and projects. Overall responsibilities include a range of activities related to providing administrative, financial, and communication support to the Center’s portfolio of projects, as well as assisting with Center operational tasks and new business development activities.
RESPONSIBILITIES
The Program Coordinator will support day-to-day Immunization Center administration and operations, as well as management of projects in the Center portfolio. Tasks will include:
- Field Office Support: Assist Center Senior Program Managers/Program Managers, Technical Advisors and Finance Manager in recruiting local staff, setting up field offices and orienting field staff to JSI and donor systems; serve as point of headquarters contact to ensure regular communications with field offices and headquarters responsiveness to country needs during implementation; provide operational and administrative support to field teams to ensure they follow and comply with JSI’s systems and procedures.
- Administrative Management: Manage consultant contracts, advances and payment requests; facilitate procurement for goods and services by drafting Purchase Orders, subcontracts and vendor agreements, obtaining bids, etc; arrange for shipping of supplies and equipment; maintain print and electronic operating files and regularly update network drives.
- Travel: Make flight and hotel bookings for staff and consultants; manage visa processing; request travel approval, as necessary; purchase insurance; work with travelers to copyedit, format and process their trip reports and expense reports.
- Financial Management: In collaboration with the Finance and Contracts Manager, ensure that donor regulations as outlined in the contracts are followed for all aspects of project office operations; process monthly wire requests and field accounts; analyze costs and track spending against approved budgets.
- Documentation and Knowledge Management: Assist in the preparation, revision and dissemination of Center and project reports, workplans, presentations and technical papers, including tracking deadlines for reporting to ensure timely, quality reports; work with communications staff to develop promotional materials and to document achievements and success stories and post them to JSI website and other communication and social media channels.
- Meetings, Events & Conferences: Assist with meeting logistics, including scheduling, drafting of agenda, sending appointments, taking and circulating notes and following up on action items after meetings; manage the preparations for special technical events such as conferences and workshops. Convene and document regular team meetings, conference calls with field staff, and technical team meetings with donors and partners, as appropriate
- New Business Development: Assist Center leadership in the development of proposals and other new business development activities, including monitoring donor RFPs, maintaining NBO database and Immunization Center project database, coordinating and revising inputs to proposal documents
- Other duties as assigned
QUALIFICATIONS
- Bachelors degree and a minimum of 2 years working in the field of international public health, including relevant in-country experience
- Previous experience backstopping overseas field offices preferred, including relevant in-country experience
- Proven administrative and organizational skills
- Ability to work independently and in groups, to manage multiple tasks concurrently, and to meet deadlines with attention to detail and quality
- Strong oral and written communication skills
- Fluent spoken and written English required
- Working proficiency in French required
- Excellent interpersonal and team skills–demonstrated ability to interact professionally with culturally and linguistically diverse staff, clients, and consultants
- Willingness to travel up to 20% of the time
- Current U.S. employment authorization required
Salary commensurate with experience.
