Job Description

Organizational Setting and Reporting
This position is located in the Project Management Office (PMO) Team of the Information Management Systems Service (IMSS) within the United Nations Joint Staff Pension Fund (UNJSPF) Pension Administration. The incumbent reports to the Programme Management Officer and works in close coordination with the Project Management Assistant, overseeing the Fund’s strategic project portfolio. The PMO Team is responsible for project oversight, governance, reporting, and support.

Responsibilities

  • Assist the PMO Team with uploading and updating newly prioritized projects and initiatives in the MS Project tool.
  • Support the setup of the Portfolio Management Tool for capacity building, resource management, and prioritization of projects.
  • Assist Project Managers and the PMO Team with project documentation and other support tasks as needed.
  • Provide support for MS Project and Power BI tools.
  • Assist with project report updates and publishing.
  • Help monitor project progress and assist Project Managers in identifying, tracking, and mitigating active risks and issues.
  • Support Project Managers with project planning and scheduling.
  • Assist the PMO Team in building reports and dashboards in Power BI.
  • Help automate routine tasks using Power Automate.
  • Perform other related duties as assigned.

  • Project Managers and Chiefs of Units and Sections throughout UNJSPF

  • Provide effective project management support for business-as-usual and project-specific tasks.
  • Work independently and collaboratively as part of a team.
  • Establish effective relationships with external vendors and set up new tools based on team requirements.
  • Follow up with key stakeholders on action points and next steps with minimal supervision.
  • Identify and resolve issues/problems efficiently.
  • Produce comprehensive reports, relevant data, minutes of meetings, etc.
  • Apply appropriate policies, guidelines, and procedures consistently.
  • Liaise effectively and in a timely manner with colleagues, user groups, and other stakeholders.

Education

  • Applicants must meet one of the following:
    • Be enrolled in or have completed a graduate school programme (Master’s or equivalent)
    • Be enrolled in or have completed the final academic year of a first university degree programme (Bachelor’s or equivalent)
  • Graduates must commence the internship within one year of graduation.
  • Must be computer literate in standard software applications.

Work Experience

  • No prior work experience is required.
  • Training, education, advanced coursework, or skills should benefit the UN during the internship.
  • Enrollment in or recent completion of a Bachelor’s or Master’s degree in Business Administration, Computer Science, Engineering, or equivalent is desirable.

Languages

  • Required: English (UN Level II in reading, writing, listening, and speaking)
  • Desirable: French (UN Level II in reading, writing, listening, and speaking)
