Functional responsibilities


Summary of Key Functions

  1. Logistics, asset management and administrative support

  2. Project support

1. Administrative Support:

  • Assist in organizing and maintaining project files and documentation (both electronic and hard copy).

  • Maintenance and asset management of office equipment.

  • Preparation of inventory lists, keeping records of office supplies.

  • Administering the receipt of goods and equipment for the office, inspection and report preparation.

  • Support in official transport needs for the office personnel with accompanying security arrangements.

  • Support the preparation of meetings (online/ offline), workshops, and training events, including logistics, participant communication, and material preparation.

  • Draft routine correspondence and reports.

  • Provide general administrative support to the project team as needed.

2. Project Support:

  • Assist in tracking project progress against planned activities and milestones.

  • Support the preparation of project reports, including gathering data, formatting documents, and ensuring accuracy.

  • Support the small procurement process by assisting in the collecting information for the upcoming needs, tracking deliveries, and maintaining procurement records.

  • Maintain and update project databases.

  • Support the preparation of presentations and other communication materials

Other duties

  • Undertake other tasks as assigned by the Project Manager or Supervisor


Impact of Results
The Project Management Support Intern’s contributions will directly impact the efficiency and effectiveness of the project. By providing essential administrative and project support, the intern will free up the Project Manager and team members to focus on core project activities, ultimately contributing to the successful construction of women’s shelters and the achievement of project objectives.
