Job Description
TMP Project:
The Tamkeen al-Muzareen Project (TMP), officially titled: ‘Mitigate the Effect of El Nino in White Nile State’ is a development project funded by the European Union. The overall project objective is to: Strengthen the resilience of vulnerable people-including host communities, returnees and refugees - and reduce their exposure and vulnerability to climate-related extreme events and other economic, social and environmental shocks and in White Nile State, with the specific objective to: Strengthen sustainable and alternative livelihoods of local communities including host communities, refugees and returnees in Al Salam and Al Jebelain localities.
Project Management (70% of time)
- Lead the planning, preparing, organizing and implementing all aspects of the project activities in collaboration with the project staff and in consultation with the Programme Manager
- Ensure synergie and collaboration with other Project Managers in Kosti office to avoid duplication and joint forces when implementing
- Regular communication with the Programme Manager
- Build the capacity of the project staff in order to have a good understanding of the project mission, vision and activities approaches
- Ensure the project staff understands, signs and follows the ADRA policies on working with communities
- Organize and lead weekly project management meetings and minute and outcomes of discussions.
- Weekly information sharing with the Programme Manager in order to share with the management the implementation status
- Maintain regular communication with the implementing partner ensuring good collaboration.
- Regular coordination with the implementing partner to avoid duplications as well as follow up smooth implementation.
- Joint plans with the implementing partner in terms of plans, timelines, deadlines for the implementation.
- Ensure to follow up all HR and procurement procedures for the project
- Know and implement donor requirements for all the processes such as visibility, procurement, implementation, reporting and so on.
- Analyze financial statements to ensure appropriate charging of line items and a managed approach to cash flow
- Prepare quarterly plan for the incoming expenditures
- Draft letters, documents and forms related to program activities
Monitoring and Reporting (20% of time)
- Assist in timely reporting on project activities according to ADRA and donor formats as required, contribute to and/or prepare progress updates on project activities;
- Contribute to the revision of the project log frame, indicators and work plan, as needed, and in connection with project reviews;
- Assist in the design and implementation of monitoring and evaluation activities as assigned;
- Conduct regular field visits and document these visits as needed (pictures, stories, articles, trip reports, follow-up emails, etc.);
- Review/edit monitoring reports as needed.
- Research, compile and present information on developments on new trends and policies in sectors related to current projects for successful implementation of the project activities, and in sectors for new projects to support fundraising and proposal writing activities;
- Ensure proper documentation of the project through soft and hard copy in the files as well as a back folder.
Other duties as required (10% of time)
- Participate in the proposal development of new and continued projects including data research, data collection, proposal drafting, etc.;
- Represent ADRA at assigned donor/interagency meetings, committees and/or working groups;
- Support visibility and communication activities related to ADRA Sudan programs;
- Assist in the planning, preparation and logistics of seminars, conferences, workshops, meetings, presentations and in-coming and out-going missions;
- Provide support to ADRA visitors and donor representatives visiting Sudan;
- Respond to requests and enquiries related to program activities.
- Support liaison with relevant governmental and non-governmental entities, international organizations as well as other relevant stakeholders for the effective implementation of ADRA Sudan projects;
- Collect PR materials including, but not limited to, pictures, stories, and articles;
- Participate in the design and writing of PR materials relevant to ADRA Sudan new and ongoing projects;
- Participate in training relevant to work duties and work environment as organized or sponsored by ADRA Sudan
- Perform such other duties as may be assigned.
Qualifications and Skills:
- University Degree in the relevant field of agriculture, business, project management, political science, international relations and cooperation
- Five years of experience in agricultural production and/or development area
- Two years of experience in INGO project and/or program management
- Good knowledge of European Union requirements it’s an asset
- Knowledge of Sudan context or precedent experience in MENA region is an asset
- Strong communication skills including cross-cultural sensitivity
- Ability to work as a team member and/or leader with people from different cultures and backgrounds.
- Well-organized and self-motivated
- Strong English Skills (reading, writing, speaking and understanding).
- Strong computer literacy with ability to use Microsoft Word and Excel
- Familiar with participatory approaches and community-based organizations
- Good facilitation/presentation skills
- Strong skills in budget control
- Strong skills in monitoring
