Job Description
The Latin America and Caribbean Unit (LAC) is conducting an internal and external recruitment for a Project Management Unit (PMU) Senior Associate . This recruitment expands to include Chemonics’ global workforce. The LAC region portfolio includes projects in Colombia, Mexico and the Northern Triangle and Peru, and covers a wide variety of technical sectors, including democracy and governance (D&G), environment and natural resources (ENR) and economic growth and trade (EGT). The LAC forward market also includes Central America-focused work from D&G, ENR and EGT. The Associate will provide advanced support with project management and complete professional and administrative tasks related to supporting the implementation of global projects in the LAC unit focused on ENR or D&G. They will support proposals and new business development efforts within Latin America and the Caribbean and throughout the company.We are looking for an entrepreneurial person with strong communication skills, interpersonal skills and strategic thinking who works well in a team.At the same time, candidates who bring a strong work ethic and attention to detail, possess excellent judgment and discretion, and are passionate about making a difference in the lives of people around the world.

Responsibilities
Project management
- Responds to questions from corporate and project offices regarding client policies and regulations
- Serves as direct liaison with relevant support departments, such as human resources and compliance, to ensure project compliance with corporate standards, regulations and policies, in consultation with the program manager or director, as appropriate
- Tracks and, where appropriate, reviews project results and financial reports to verify they are complete and ready for presentation. Can provide text editing support as needed
- Draft and track administrative and financial project requests and changes to clients and partners, including personnel approvals, financial and tracking reports, activity modifications, and budget adjustments. You can contact the corporate office, project staff, and partner staff for information and to submit approvals
- Leads recruiting efforts for expatriate and local staff under the supervision of a manager/director, including sourcing candidates, conducting interviews, checking references, collecting employment verification documentation, and providing feedback to finalists
- Supports monthly project budget review, drafts monthly budget and staffing memos, participates in corporate budgeting process as requested
- Provides local expense review, supporting documentation, and draft invoices to manager for review and approval
- Analyzes and submits subcontractor invoices and supporting documentation. Drafts subcontracts and amendments, maintains close contact with subcontractor partners on contractual matters
- Completes data entry of monthly project billing, subcontractor partner and consultant information, expense reports, and other types of requested data
- Provides travel support for employees and consultants by collecting relevant travel information, booking tickets, and seeking necessary travel authorizations and approvals. Liaises with traveler to compile expense reports and required supporting documentation
- Processes monthly wire transfer requests and provides initial reviews to ensure completeness and accuracy, as well as submits the final wire transfer request package for approval
- Drafts and submits employment contracts and compiles supporting documentation necessary to complete administrative procedures for onboarding
- Facilitates the movement and repatriation of employees and consultants by submitting separation documents, updating benefits, coordinating travel, and repatriating household effects
- Facilitates obtaining residence permits, tax documentation and housing for expatriate personnel. Supervises the administration of expatriate staff benefits
- Leads Project Management Unit (PMU) efforts for complete and thorough project documentation, saving relevant project documents and approvals in project SharePoint files and facilitating document reviews and file audits, as per correspond
- Schedule and lead meetings, prepare the agenda and capture notes as appropriate
- Participate in internal and external training events to strengthen core competencies for project management in line with donor regulations and Chemonics corporate standards
- May dedicate time to other lines of work and functions to achieve business unit objectives, including: new contributions to business, operations, and technical practices
Technical and New Business Development
- Participates in proposal teams in specific line roles of increasing complexity, including but not limited to Past Performance Writer, Corporate Capabilities Writer, Expatriate and/or Local Recruiter, Section Writer, Cost Preparer, Coordinator and Subcontractor Liaison/ partners. Provide mentoring to other employees
- Travels when appropriate to conduct information gathering on new business endeavors, including meeting with potential contract partners
- Contributes to technical practice(s) as required by business unit and enterprise needs and performs other duties as required
Qualifications include:
- Bachelor’s degree or equivalent work experience
- Minimum 2 years of relevant administrative or professional work experience, including one year of procurement, contractual, project management or related experience
- Knowledge of USAID, other donors, and private sector trends in the ENR or D&G sector is preferred
- Experience in data entry, filing, cataloguing, retrieval and record preservation is preferred
- Clear and concise communication, both verbal and written; great communication skills and intercultural sensitivity. Demonstrated experience multitasking with attention to detail, organization and time management skills
- Demonstrated experience following standard practices and procedures, receiving general instruction and supervision, and contributing to projects and initiatives
- Excellent customer service and interpersonal skills
- Work independently and as a team.
- Demonstrated ingenuity in problem solving and initiative to learn new skills
- Demonstrated leadership, versatility and integrity
- Strong knowledge of MS Office applications
- Previous experience working in the field of international development and/or living or volunteering in developing countries will be an advantage.
- Willing to travel up to 8 weeks a year
- Professional fluency (written and oral) in Spanish and English is required

This position is located outside the U.S.
An employee’s pay position will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, performance, shift, travel requirements, and business or organizational needs.
Overtime exemption status may change due to state regulatory requirements.
