Functional responsibilities


The key functions of the role include:

  • Support the Office of the Deputy Executive Director, Management and Policy, with internal and external communications
  • PID Information and Document Management
  • PID Programme Comms
  • Communications support to PID projects

Functions / Key Results Expected

1. Support the Office of the DED Management and Policy with internal and external communications
  • Develop a social media calendar and support content creation, in coordination with the secretariat of the Office of the DED;
  • Liaise with graphic designers and videographers for the development of audio-visual products;
  • Monitor and report on social media metrics to track the effectiveness of activities.
2. PID Information and Document Management
  • Identify key stakeholders within and outside the PID community;
  • Develop and manage the PID communication plan to ensure consistent, relevant and timely delivery of internal communication material;
  • Liaise with the Project Management and Support team to ensure all relevant PID overarching documents saved and organized in the respective drives and that each project team follows minimum standards for project documentation (project brief, project plan, communication materials, progress updates, board meeting decks and minutes, etc.);
  • Maintain internal communication channels such as Confluence and intranet, ensuring content is up to date, accurate and accessible.
3.PID Programme Communications
  • Plan regular communications, and coordinate with project teams the information to be shared with relevant audiences (all personnel, PID Community, and other Communities of practice);
  • Liaise with the Internal Communication team to bring up PID news into the weekly newsletter, ED messages, and intranet;
  • Coordinate the PID Monthly update including content creation, editing and distribution;
  • Coordinate the update with relevant stakeholders including the Project Management and Support unit, to gather updates, announcements etc.;
  • Support engagement and communication with stakeholders to ensure their needs are addressed and their feedback is incorporated into communications planning;
  • Measure the effectiveness of PID communication messages and channels on an ongoing basis and make recommendations to review and amend established processes as appropriate.
4. Communications support to projects
  • Provide advice to project teams on tailoring of messages and best use of internal communications channels;
  • Develop communication plans in collaboration with project teams to ensure consistent, relevant and timely delivery of internal communication materials;
  • Develop communication materials, including audio-visual products, posts, and slide decks;
  • Support the monitoring, analysis and moderation of feedback for different initiatives and channels;
  • Support the development of the project’s community of practice through active communication, timely engagement and knowledge sharing.




Education/Experience/Language requirements


Education:

  • An advanced University degree preferably in Communications, Business Administration, Marketing or a related field is an advantage.
  • A first-level university degree with a relevant combination of academic qualifications and two (2) years of additional experience related to the position is required.


Experience:

  • Minimum 2 years of experience in knowledge management, communications and/or operational support is required.
  • Experience in video editing software is required.
  • Experience with social media content creation is a distinct asset.
  • Experience with Google Workspace is an asset.
  • Graphic design skills and experience is a distinct asset.


Language Requirements:

  • Full working knowledge of English is essential.
  • Knowledge of another official UNOPS language is an asset
