Job Description
Chemonics International is seeking a Field Accounting Support Team Specialist. The Field Accounting Support Team (FAST) supports field-based projects and project management units to ensure that field accounting adheres to company, client, and accountancy rules. The FAST team ensures that field-based transactions are transferred into the home office accounting environment for invoicing, and home and field office records reconcile as appropriate. Further, the team conducts all field office bookings that cannot be completed by field office personnel, such as intercompany transactions. Conducts startup and training activities for new projects or newly hired accountants, both remotely and in person as conditions permit. Finally, the team ensures that field office teams’ software needs are communicated. The FAST team reports to the Treasury department. Principal Duties and Responsibilities:
The overall FAST team must support all active projects in the areas of accounting, systems, and intercompany. The team is divided functionally, however members are expected to be cross-trained to ensure fluidity between functions.
Leadership and Metrics
- Accountable to the team lead and is expected to own end-to-end processes and tasks at the conceptual level and leading process improvement initiatives
- Tracks metrics related to their area of responsibility. Reports on metrics to divisional ops as assigned by the team leader
ServiceNow
- Reviews assigned tickets in ServiceNow and addresses them timely
- Ensures that tickets that pose broader challenges are addressed through appropriate action, such as the development of new guidance, policy, or procedures
Audit, Startups, and General
- Coordinate response to corporate audits as appropriate, including the annual corporate audit, incurred cost audit, and client audits
- Respond to questions raised within the corporate audit
- May be asked to fill in, cross train, or move between work streams based on team needs and professional development
- Ensures startup materials are updated as needed and remain relevant
- Conducts startup assignments, which including training field accountants, DOA holders, procurement, HR, and petty cash custodians on policies and best practices
- Reviews GQMS materials regularly and ensures they are up to date with best practices and systems
- Encourages the development of new, innovative approaches to accomplishing team goals through the development of new or revised GQMS processes
- Perform other duties as assigned
Accounting
- Completes locals and home office/ field office reconciliations for their assigned portfolio
- Coordinates and contributes to corporate activities, such as the completion of Schedule J
- Complete complex reconciliations, resolving problems with minimal supervision
- Provides guidance within the team’s area of expertise to field office accountants
Intercompany
- Responsible for the timely clearance of intercompany accounts including but not limited to 00010, 00011, and 0002X
- Reconciles complex intercompany accounts and problem solves past issues independently
- Maintains a list of employees with recurring vendor card entries to ensure FAST side of the entries are completed accurately and timely
Requirements:
- Minimum 3 years’ experience related to finance, accounting, or international development required. Equivalent experience in multi-national operations for private sector or government entities acceptable
- Prior knowledge of accounting software, such as Solomon, D365, or QuickBooks, required
- Demonstrated ability to communicate clearly and concisely, both orally and in writing, and lead presentations, training courses, and effective meetings
- Demonstrated ability to follow standard practices and procedures, receive general instruction and supervision, and contribute to projects and initiatives
- Demonstrated resourcefulness in problem solving and initiative to learn new skills
- Bachelor’s degree or equivalent combination of education and work experience required
- Strong knowledge of Microsoft Excel, Word, and Outlook. D365, PowerBI, and Access (or other SQL-based databases) experience all a plus
- Demonstrated ability to communicate clearly and concisely, both orally and in writing, and lead presentations, training courses, and effective meetings
- Must have strong cross-culture communication and sensitivity skills. Experience living or working in developing countries preferred
- Familiar with USAID, DFID, or other international development donors preferred
- Customer service approach to problem solving
- French preferred
- Willingness to travel and work abroad in locations where Chemonics has operations for at least 4 to 8 weeks per year
