This role will supervise vehicle use, monitor maintenance and rental service providers, and work closely with mechanics, contractors, and users to ensure timely servicing and repairs. The role will also involve traveling to UNOPS field offices in Cabo Delgado to support fleet operations, helping to keep vehicles safe, functional, and within budget.
This position is based in Pemba a non-family duty station.

Under the supervision of the Supply Chain Officer and guidance from the Support Services Manager, the Fleet and Logistics Associate is responsible for managing the condition and availability of UNOPS vehicles to support both projects and the country office. This includes supervising vehicle use, monitoring maintenance and rental service providers, and working closely with mechanics, contractors, and users to ensure timely servicing and repairs. The role also involves traveling to UNOPS field offices in Cabo Delgado to support fleet operations, helping to keep vehicles safe, functional, and within budget.
1. Vehicle Fleet Management:
- The Fleet & Logistics Associate is responsible for overseeing all aspects of fleet operations, ensuring efficiency, compliance, and responsiveness to project needs. This role requires strong leadership, strategic thinking, and operational oversight.
2. Driver and Team Leadership
- Serves as the lead for all drivers, providing guidance, motivation, and proactive problem-solving to ensure smooth operations.
- Oversees the completion and accuracy of driver logbooks.
- Prepares Daily Subsistence Allowance (DSAs) for drivers and supports mission planning when required.
- Ensure that all drivers receive continuation training and development and retain current licenses.
3. Fleet Operations and Maintenance
- Establish and maintain a vehicle management system in accordance with UNOPS vehicle management policy and procedures.
- Ensures the proper functioning, maintenance, and readiness of the UNOPS fleet.
- Supervises the Maintenance of cars with the suppliers, car washers, courier services, and outsourced transportation providers.
- Assists in the purchase, receipt, and inspection of vehicle spare parts.
- Keeps equipment available for use by inspecting and testing vehicles; completing preventive maintenance such as, engine tune-ups, oil changes, tire rotation and changes, wheel balancing, replacing filters.
- Conduct accident damage assessments, process vehicle accident reports and raise damage reports as required.
- Maintains vehicle records by recording service and repairs.
- Maintenance of the proper and complete filing system for fleet records and documents.
4. Fuel Management
- Accurate daily vehicle log to review and control petrol consumption and mileage.
- Maintains accurate fuel records using applicable systems.
- Support the implementation and continuous improvement of fuel procurement and management strategies across Cabo Delgado, ensuring reliable supply, cost-efficiency, and accountability.
5. Mission & Logistics Support
- Coordinates the dispatching of administrative and project-related missions.
- Assesses project needs and delivers strategic logistical solutions to support operational efficiency.
- Ensures effective provision of logistics and fleet support services in compliance with UNOPS rules, regulations, policies, and strategies.
- Provide support for VIP visitors including secure convoy organization when required.
6. Coordination and Compliance
- Authoritatively interprets organizational procedures to guide complex or unusual cases.
- Oversees the implementation of logistics systems in accordance with UNOPS procedures.
7. Asset and Supplies Management
- Assist in the UNOPS asset management.
- Support in the issuance, receiving and recording of project equipment and consumable items including supplies, stationary amongst other items.
- Assist with data capturing for inventory in line with UNOPS Asset Management Standard Operating Procedure (SOP).
- Identify assets requiring repair and assist procurement in ensuring repairs are completed satisfactorily.
- Ensures the safe and proper storage and use of all UNOPS assets.
8. Others
- Perform other related duties as required.
