PRIMARY FUNCTION/PURPOSE:

The HR Associate is the entry level position in the HR Department. The purpose of this position is to assist on various projects in the Total Rewards functional areas to meet critical deadlines with activities that increase the overall effectiveness of the Benefits & Total Rewards processes. This position will be responsible for the benefits on-boarding, extended orientations and handling the logistics of employment verifications and assist with special projects as needed.

Incumbent of this position will be required to come to office on a Hybrid schedule when IFES’s offices opens up.
Job Responsibilities:

MAJOR DUTIES AND RESPONSIBILITIES:

  • Assist with the onboarding process, including extended orientation.
  • Support the administration and daily processing of all health & welfare programs to include, medical, dental, vision, STD, LTD, and FSA.
  • Handle staff benefits, HRIS, allowances, rewards, and recognition inquiries to ensure quick, equitable, and courteous resolution
  • Maintain employee data in various HR systems
  • Provide excellent customer service support to staff. Develop communication tools to enhance understanding of benefits offerings
  • Maintain the HR Benefits Intranet page. Ensuring information is accurate at all times
  • Prepare employer required notices for distribution to staff
  • Provide quality control of data and employee medical records – current and archived (electronic and physical)
  • Assist with open enrollment activities, benefits renewal, and system testing
  • Gather data and assist with the yearly distribution of Total Compensation statements to staff.
  • Assist with the processing of allowances for international staff in accordance with USAID regulations
  • Work on special Benefits & Total Rewards assigned projects and assist with research of information as needed.
  • Support local country office benefit plans administration and audits
  • Help administer IFES Rewards & Recognition program
  • Assist with the ongoing maintenance of HR Information systems
  • Support external & internal HR audits.
  • Other Benefits, rewards & recognition, and HRIS duties as assigned.

POSITION SCOPE: Provides the support necessary for the team to achieve its goals. Job duties are fairly straight forward and require following common procedures and guidelines. Manages own workload, time and priorities, with general guidance from supervisor.

POSITION REQUIREMENTS:

Education: Bachelor’s degree in Human Resources Management, Business Administration, Communication or related field.

Experience: 0 - 2 years’ relevant experience in Human Resources. Experience or internship in an NGO a plus. Experience working within an international environment and handling international HR programs a plus. Experience with HRIS systems and USAID guidelines.

Related Skills or Knowledge: Experienced with Microsoft Excel, Word and PowerPoint required. Detailed oriented and organized. Ability to prioritize, take direction, and handle varied tasks within deadlines. Strong communicator, both verbally and in writing. Collaborative, team oriented individual.

LANGUAGE SKILLS: English required.

TRAVEL: Limited.
