Job Description

Job Purpose
Under the supervision of the Finance Manager and Finance Officer, the selected candidate is responsible for providing support to the Regional Office in various finance issues to ensure the smooth day-to-day operation. The Finance Intern provides support to the Finance Department in the delivery of finance services in support of the zone’s operational programs.

Job Duties and Responsibilities
The selected candidate shall be responsible for day-to-day operations related to petty cash, e-travel, daily accounting, review of supporting documentation, including working advances, performing reconciliations. The tasks are detailed below. The selected candidate shall:

  • Ensure daily data input into ERP financial system in an accurate, efficient and timely manner.
    • Daily Invoices & data input into ERP financial system in an accurate, efficient & timely manner. (Supplier & 3rd Party invoices)
    • Review the payment authorizations submitted for signature, ensuring that all supporting documentation is attached. In case of missing documentation, ensure necessary follow-up actions.
    • Supports in the scanning of the supporting documents for payments and archiving accounting documents in accordance with established procedures
    • Registering the Fcast once received
    • Check pending invoices received from supplies, and advise on the required action



  • Assist the Finance Manager & Finance Officer in the month/year end closing:
    • Preparing and registering the reallocations and corrections at the end of each month as requested.
    • Assist in the clearance of working advances
    • Assist in checking and clearing the balance sheet upon request.
    • Assist the Finance Manager & Finance Officer in the Reallocations Correction



  • Ensure timely monthly reconciliation of working advances.
    • Ensure clearance and reporting of working advances.
    • Assist in the preparation of reconciliation of balance sheet items
    • Calculate, reconcile and advise staff on the outstanding working advance amount
    • Assist with the preparation and coding of staff



  • Other Assigned Tasks
    • Assist the Finance Officer in suppliers’ payments and reconciliations
    • Assist as a member of the Regional Finance and Administration Unit (RFAU) with other tasks as required


Education

  • Relevant degree (minimum bachelor’s degree) or equivalent experience in Administration, financial management accounting - Required
  • Relevant professional /academic qualification in finance or accounting - Preferred



Experience

  • 0 to 1 year of internship experience related to Finance - Preferred
  • Experience in working with web-based accounting systems - Preferred



Knowledge, Skills and Languages
Knowlege

  • Advanced computer skills, working knowledge with windows, spreadsheets, word processing and accounting packages - Preferred
  • Experience working with ERP or similar accounting software - Preferred


Skills

  • Ability to work under pressure and to deadlines - Required
  • Accuracy and fine attention to detail - Required
  • Organised and self-starter in work prioritising - Required


Languages

  • Fluent spoken and written Arabic and English - Required
  • Good command of another IFRC official language (French) - Preferred
