JOB TITLE: Intern (Front Office)

TYPE OF CONTRACT/GRADE: Internship

UNIT/DIVISION: Front Office

DUTY STATION: Amman, Jordan

DURATION: 6 months

BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

The Front Office Intern will report to the Deputy Country Director and will provide administrative and clerical support to ensure smooth office operations. This internship offers a unique hands-on experience in office management, logistics coordination, and administrative processes.

ACCOUNTABILITIES/RESPONSIBILITIES:

  • Provide clerical assistance including photocopying, scanning, filing, and data entry.
  • Assist in preparing internal memos, correspondence, meeting minutes, and reports.
  • Support office logistics, including travel processing, hotel bookings, transportation requests, and event coordination.
  • Assist with onboarding support: preparation of welcome packages, ID processing, and office desk arrangements.
  • Support organization of internal meetings, workshops, and conferences; assist with documentation and attendance lists.
  • Assist with vendor and service documentation collection, including sorting, verification, and proper storage for audit purposes.
  • Support preparation of briefings, summaries, presentations, and background notes for management.
  • Conduct basic research tasks to support programme and administrative needs (policies, data collation, information notes).
  • Assist in maintaining inventory, stationery records, and office asset tracking.
  • Support information flow management within the Admin inbox, telephone routing, and enquiry handling.
  • Other duties when required.

QUALIFICATIONS

Education: Candidates must meet of following conditions to be considered for the internship:

  • Be currently enrolled in an undergraduate programme (for example, Bachelor’s degree) from a recognized university and have completed at least two years of the programme. Candidates should have attended classes in the past 12 months;
  • Be currently enrolled in a graduate programme (for example, Master degree) from a recognized university and have attended classes in the past 12 months;
  • Be a recent graduate from an undergraduate or graduate programme (within six months prior to the application to the internship programme) from a recognized university and have attended classes in the last 12 months of enrolment in the university.
