Job Description

Oxford Policy Management is seeking a proactive and diligent Legal and Compliance Administrator on a permanent basis to support a busy and fast-paced inhouse Legal & Compliance team.

The Legal and Compliance Administrator is responsible for providing admin, diligence and process support to the members of the Legal and Compliance team as well as being the central point of contact for initial legal queries.

The successful candidate will be educated to degree level. Some knowledge of legal processes and working with business policies would be advantageous (though not essential). The team would be keen to speak to candidates who are comfortable working with some degree of autonomy and keeping to deadlines, and who is happy to suggest ideas and keen to help enhance smooth administrative ways of working together.

Key objectives of this role will include providing vital support to supplier and client contracting, the company secretarial function, and our Due Diligence processes (including internal team and the wider company).

This role is open to candidates who have pre-existing right to live and work in the United Kingdom as we are unable to sponsor visas.

Day to day responsibilities of this role will include (not exhaustive):

  • Administration of documents within agreed timescales and quality.
  • Support the review of contractual documents prior to presentation for signature and their storage as part of the contract lifecycle.
  • Act as a central point of contact and co-ordination between internal and external stakeholders.
  • Provide administrative assistance to the Legal & Business Governance Team e.g., formatting and printing of documents, arranging delivery of post, diary management, booking rooms, filing expenses, and managing invoices, booking travel etc.
  • Provide administrative support to the Company Secretary including liaising with staff members outside the team to do so.
  • Provide administrative support as part of the Due Diligence process, including uploading information to external databases, liaising with DD requestors within the business and checking submitted documents against checklists provided.
  • Managing and updating the Legal & Business Governance intranet site including the filing of updated policies on SharePoint and OPM’s website.
  • Support OPM’s policy authorisation process.
  • Help produce the reports and processes necessary for the flow and collection of data and dissemination of information.
  • Taking minutes of meetings as and when required.
  • Administration of the Legal & Compliance and Due Diligence inboxes.
  • Liaise with internal OPM teams, such as Bid, Project Support Unit and the Programme Finance Teams, and individuals at all levels of seniority to support smooth delivery of services of the Legal & Business Governance Team.

Successful candidates who are shortlisted will be expected to be able to demonstrate the following essential skills for this role:

  • Previous administrative experience and capable of dealing with a consistently high volume of work.
  • Strong interpersonal communications capable of communicating with all levels of seniority.
  • Excellent attention to detail.
  • Good time management and prioritisation skills.
  • Good understanding of the mechanics of legal contracts and associated contractual documents is beneficial, but not essential.
  • Experience of MS Office packages, particularly SharePoint, Teams, Outlook, Word and Excel.
  • Education to degree level in a subject relevant to OPM’s work would be beneficial but not necessary.
  • The ideal candidate should be a motivated self-starter who can work on their own, with some support, and own an open mind-set with a “can do” attitude.
  • Able to balance multiple priorities by effective planning
  • Demonstrative experience on working collaboratively and effectively with others to achieve common goals within immediate and wider teams, as well as across external networks and stakeholders
