Here are some of the responsibilities that the Office Manager is expected to fulfill:

  • The Office Manager, working 15 hours a week, handles all the administrative aspects of the Devex Barcelona office – from office management to finance, procurement and bookkeeping:
  • You ensure regular communication with human resources and co-Office managers in the other Devex Offices while serving as point person for other consultants, suppliers and vendors. This likewise includes monitoring our Slack channels (esp. Barcelona’s channel)
  • You make sure that everything is well-stocked (from supplies, groceries to cleaning products) and running smoothly by scheduling regular cleaning and maintenance of company property.
  • You organize “Frine” – BCN’s wine and snacks happening every Friday
  • On the Finance and Procurement side, you handle vendor management (from selection to ensuring payments are made), account monitoring, accounts/bank reconciliation and excel reports. You are also the one who informs HRA when invoices are scheduled to be automatically debited from/charged to bank account for proper allocation of funds.
  • You are also the one in charge of receiving mail and packages, as well as filing and sending important documents to other offices.

What we need from you:

To fit well in this role you must be truly organized, think quick on your feet and have extreme focus. We need someone with excellent social and communication skills that attract colleagues and clients to want to work with you. You must also have:

  • At least two years of working experience in office administration, finance, procurement, bookkeeping and vendor management
  • A bachelor’s degree in Business Management or Accountancy or any related field.
  • Flexibility and adaptability
  • Able to work 15 hours per week
  • Must be fluent in both English and Spanish.
  • Must be based in the Barcelona with corresponding work authorization.

Preferred Qualifications:

  • Work experience in international development or with an international company
